Job Description: Receptionist


Responsible To: Customer Services Manager


Location: Galway


Contract: Full Time Permanent


Job Summary:


To provide a friendly and efficient reception service in each locality, ensuring that customers receive the advice and support they require when visiting. As a receptionist, you will act as a front-of-house specialist, providing a highly professional and caring reception service while maintaining Tuath's high standards.


You will deliver quality customer service, provide clear solutions to customer queries, and handle queries and complaints professionally, courteously, and helpfully.


The following list is typical of the duties expected of the post holder. It is not exhaustive, and other duties of a similar nature and level may be assigned from time to time. The post holder will be responsible for a combination of objectives described below and annual KPIs, depending on organizational needs.



KEY RESPONSIBILITIES (Functional):

* Provide efficient and effective customer service, handling a variety of requests.
* Provide information and guidance.
* Manage office duties, including booking, preparing, and managing meeting rooms, ensuring facilities are maintained, and stock is ordered.
* Coordinate facilities management and communicate needed works.
* Address inquiries effectively, working across teams to secure updates and outcomes for customers.
* Ensure call answering meets set targets for handling and customer satisfaction.
* Understand and address customer needs, supporting colleagues in service delivery and development.
* Maintain high standards in reception areas.
* Complete transactions, including taking payments, following protocols.
* Update customer information accurately on housing and contact management systems.
* Uphold Tuath's policies, including health and safety, and promote service quality improvements.
* Utilize technology to support customer interactions and information provision.
* Develop and maintain strong networks and relationships within the organization and with external agencies to ensure excellent service delivery.


Essential Skills, Qualifications, and Experience:

* Understanding of operational services at Tuath locality offices.
* Knowledge of customer service and conflict resolution.
* Familiarity with customer experience tools and approaches.
* Ability to deliver high-quality, customer-focused services.
* Strong verbal and written communication skills.
* Problem-solving skills and the ability to evaluate situations and act appropriately.
* Self-motivated with minimal supervision.
* Ability to work as part of a team and contribute positively.
* Willingness to work flexible hours, including evenings, weekends, and public holidays.


Key Responsibilities (Organizational):

* Contribute to operational planning.
* Maintain professional knowledge and support colleagues.
* Provide data and testimonials for reports.
* Promote effective communication, service excellence, and continuous improvement.
* Develop and maintain networks and relationships to ensure service excellence.


Health and Safety Responsibilities:

* Conduct activities safely, adhering to the Health and Safety Policy.
* Ensure risk assessments are in place and colleagues are aware of safety instructions and PPE requirements.
