Key Responsibilities:
* To execute and sell hotel events and weddings with seamless transitions from M&E to Operations, and from M&E back to Sales.
* Provide high-level service throughout the event process through coordination with the customer, sales team, and hotel departments.
The Event Production Specialist is accountable for the successful execution of assigned events. This includes documenting preparation and communication that meets customer requirements, recognizing opportunities to enhance the experience, and suggesting improvements to create a better overall event.
Main Responsibilities:
* Plans and manages events and weddings, integrating team-based service to achieve a successful event.
* Coordinates and communicates verbally and in writing with the customer and hotel operations to detail the event.
* Attains and provides post-event feedback, maintaining the customer relationship from initial transition to return to sales for reconciliation.
* Is responsible for customers' experiences from file transition through the post-event phase until transition back to sales.
Additional responsibilities include making presence known to the customer during the entire event process, being available to solve problems and/or suggest alternatives to previous arrangements, greeting the customer during the event phase, and handing off to operations for execution of details.
Technical Skills:
* Forecasting group rooms and catering in a timely manner.
* Managing group room blocks and meeting space.
* Menu planning, food presentation, and banquet/event service standards.
* Utilizing hotel rooms and space inventories effectively.
* Familiarity with facility management, sanitation, maintenance, and operations.
* Familiarity with Fidelio Opera environments, Microsoft Office, and Micros.
* Managing customer budgets and having knowledge of all hotel departments.
* Effective communication and meeting skills, including presenting ideas and information in a concise manner.
* Conflict situation management, time management, organizational skills, and teamwork.
This role requires strong attention to detail, understanding of audio visual products, sales, and services, as well as operational knowledge and challenges. The Event Production Specialist must also be able to design, enhance, and execute outstanding catered events while providing world-class customer service to both groups and local clients.
