Job Title: Front Desk Support Specialist
About the Role
We are seeking a highly motivated and organized Front Desk Support Specialist to join our team. As a key member of our front office, you will be responsible for managing the reception area, greeting customers, and handling their queries.
Key Responsibilities
* Manage the Reception Area:
o Welcome customers and provide them with information about our services.
o Maintain a clean and tidy reception area.
* Greet Customers:
o Meet and greet customers upon arrival.
o Deal with customer inquiries and concerns in a professional manner.
* Manage Incoming Calls:
o Answer phone calls and respond to customer queries.
o Log sales calls and take messages as required.
* Type Up Documents:
o Prepare letters, quotations, and emails as needed.
* Post Management:
o Handle outgoing post.
o Keep track of post books and update records daily.
* Trade-in and Sales Processing:
o Process change of ownership paperwork for used cars.
o Register new cars for customers and log details.
* Fuel Payments and Petty Cash:
o Monitor fuel payments and petty cash logs.
* Tax Renewals:
o Keep track of tax renewals for company demonstrators.
* Duplicate Paperwork:
o Apply for duplicate paperwork when necessary.
* Customer Service:
o Follow up with customers to ensure satisfaction.
Requirements
To be successful in this role, you will need:
* A strong background in administration or a related field.
* Excellent communication and customer service skills.
* The ability to multitask and work independently.
* A professional demeanor and appearance.
* Previous experience in a similar role is an advantage.
