The Role / LocationWe are currently recruiting for an experienced Maintenance Administrator to join one of our successful and fast-paced departments. Based on site at Clancy Quay, Islandbridge, Dublin 8, you will play a key role in supporting both the Facilities Manager and Maintenance Team.This is role requires a proactive and highly organised individual to manage a wide range of administrative and operational duties. You'll be integral to the smooth running of day-to-day operations, helping ensure the delivery of high-quality service across the developmentKey ResponsibilitiesFacilities Support Includes:Monitor daily calls and emails, ensuring timely logging and responsePrioritise and resolve requests, ensuring all relevant information is capturedGather client feedback and escalate issues as neededManage paperwork, including physical and digital filingReview check sheets, log actions, assign tasks, and track completionCarry out general office and admin duties as requiredAssist with scheduling and coordination of Planned Preventative Maintenance (PPM) visitsSupport the Facilities Manager with updating reports and schedulesCoordinate contractor activities on-site and ensure successful task completionInduct all contractors and issue work permitsRequest and manage RAMS for all worksAssist with small projects and help coordinate internal eventsMaintenance Support Includes:Track and manage incoming maintenance requestsSchedule and follow up on worksManage contractors and track work completionHandle key management processesLiaise with Savills Property ManagersAssist with maintenance project managementCarry out general and ad hoc duties as requiredLettings & Admin Support Includes:Produce leases and inventoriesRefresh and upload property adverts (e.g., Daft)Upload data to the Yardi systemConduct administrative auditsRespond to tenant queries via email, phone, or in-personCoordinate tenant changeoversSet up and coordinate property viewingsLiaise with on-site conciergeManage and maintain filing systemsIssue maintenance instructions and track follow-upAdminister amenity space bookings and usagePerform general administrative support dutiesSkills, Knowledge and ExperiencePrevious Experience within an Helpdesk/Administration role is desirableIT literate – working knowledge of Microsoft Office & Building LinkTeam oriented pro-active, open minded team playerHighly organised with excellent attention to detailStrong Interpersonal and excellent written and verbal communication skillsExcellent customer service skills whilst working under time pressureAdaptable – must possess the ability to work on own initiativeAlways demonstrate commitment and flexibilityMulti-tasking skills and ability to work on a variety of items simultaneouslyCustomer focus management styleExcellent professionalismExcellent problem-solving skillsSavills Ireland is an equal opportunity employer.Savills aims to attract, recruit and retain the best people from the widest possible pool of talent.
