Job Overview:
We are seeking a highly organised and efficient Operations & Resource Manager to lead the seamless execution of our internal operations and efficient allocation of resources within our dynamic creative agency.
The ideal candidate will combine their strong operational acumen with a deep understanding of the event process to optimise workflows and ensure our teams deliver exceptional work on time.
They must have an enjoyment for administrative work.
This individual must have an eye for detail & drive to keep things organised and updated on a daily basis.
They must lead without being prompted.
As Operations & Resource Manager, your duties will include but are not limited to the following:
Assist the Director of Operations in running internal operations across departments
Process & Systems:
Maintain and improve internal processes, systems, and documentation to drive efficiency and clarity across the agency.
Policy Documentation:
Lead out on keep these, keeing up to date, orderly/filed
Curate any new documents as needed
Leads out on weekly check in's with various teams/departments
Resourcing & Scheduling:
Lead the agency's resourcing function, working with project leads and department heads to allocate staff effectively across projects.
Manage weekly resource planning meetings and keep the resourcing schedule up to date.
Track capacity, highlight pinch points, and flag gaps or overloads early.
Support freelance and contractor onboarding, ensuring smooth integration into teams.
Freelance management:
Manage and build out the freelance base for the events teams.
The freelance base will act as an extension of the account teams and will be used to scale-up during busy periods.
On-going recruitment is super important here.
Build relationships with key freelancers, share new talent with the teams and onboard new freelance talent onto the FUEL system & keep updated availability.
Manage all freelance costs on projects; negotiating fees and managing invoicing.
Manage all documentation: NDA's, SOW'S/Contracts, etc
New Enquires/Pitches:
Ownership of new opps channels & filtering information and brief down to be resourced
Ownership of E -Tenders account
Must have ability to read through tenders and curate small hand brief for senior management
Management of ERP System (Scoro)
Supporting on all operational needs in the back end of Scoro
Manage information inputting from the various teams
Responsible for onboarding of new staff through all ops systems
Lead out on internal/external training programme
Support in office & Facilities where needed
Culture & Communication: Help foster a positive, collaborative, and solution-driven culture, ensuring clear communication across the agency.
Reporting & Insights: Track operational and resourcing KPIs, prepare reports, and provide insights to the Director of Operations and senior leadership.
Key Skills & Experience:
5+ years of experience in event management, operations, or a related role within a creative agency.
Strong analytical skills with an understanding of operational processes and project lifecycles.
Exceptional communication and interpersonal skills to collaborate effectively with diverse teams.
Ability to push work through the business & not shy away from hard conversations.
Proficiency in project management and communications tools and software (e.g., Scoro).
Operational & resource management.
Excellent organisational and multitasking skills, with a keen eye for detail.
Ability to thrive in a fast-paced environment and manage multiple projects simultaneously.
Ability to balance operational efficiency and problem-solving.
Familiarity with creative events planning, experiential marketing or advertising is a plus.
Administration and IT Systems skills .

Salary will be dependent on previous experience.
Working hours
The successful applicant will generally work normal office hours 9am to 5.30pm Monday to Thursday, and 9am to 5pm on Fridays.
On occasion, they may need to work extra hours, including evenings and weekends.
