A construction client from Hays is looking for an office administrator to join their team on a permanent basis.
Your new role
Payroll Administration:
1. Accurately process employee salaries, ensuring compliance with tax regulations.
2. Keep payroll records updated and address employee pay-related queries.
3. Prepare and submit payroll reports while liaising with external payroll providers if needed.
Health & Safety Compliance:
4. Ensure all health and safety documentation is current and properly followed.
5. Maintain compliance records and paperwork.
6. Organise training sessions and ensure staff understand safety procedures.
7. Coordinate with external health & safety auditors when required.
Debtors & Creditors Management:
8. Maintain precise records of invoices, payments, and outstanding balances.
9. Follow up on overdue payments and communicate with customers regarding outstanding debts.
10. Process supplier invoices, reconcile payments, and liaise with vendors.
11. Generate financial reports related to accounts payable and receivable.
General Office Administration:
12. Manage correspondence, telephone enquiries, and email communication.
13. Maintain company records, filing systems, and databases efficiently.
14. Assist management with administrative tasks and scheduling.
15. Help coordinate company meetings, events, and appointments.
16. Handle insurance-related queries.
What you'll need to succeed
17. Experience in payroll processing and financial administration.
18. Knowledge of health & safety regulations in the workplace.
19. Proficiency in accounting software and Microsoft Office applications.
20. Ability to create, format, and edit documents in Word efficiently.
21. Competence in Excel for data entry and analysis, including using formulas.
22. Strong organisational, time management, and problem-solving skills.
23. Excellent communication and interpersonal abilities.
24. Ability to work independently and as part of a team.
