Job Description
ARAMARK Workplace Solutions (AWS) are recruiting for a Facilities Assistant based in our Primary Care Centre in Kilcock (Co. Kildare). This is a full-time permanent position reporting to the Regional Facilities Manager.
Job Responsibilities
* Conduct daily rounds and monitor all M&E systems to ensure proper operation.
* Inspect PCC rooms daily to ensure readiness for the working day, reporting issues appropriately.
* Address cleaning issues and manage stock levels.
* Check stationary supplies, restock upon request, and manage weekly stationary orders.
* Manage key boxes and issue keys as needed.
* Set up and rearrange meeting rooms as required.
* Support office relocations, moves, and re-layouts.
* Assist with PPM activities, energy, waste, and cleaning checks across the site.
* Receive and move large/bulky items to their destinations.
* Maintain open office areas in good order.
* Handle porterage of heavy parcels, equipment, and miscellaneous items.
* Perform ad hoc tasks as assigned by the FM Coordinator or Regional Facilities Manager.
* Provide mailroom coverage, including receiving, sorting, and distributing mail.
* Oversee the Facilities Assistant function within the centre.
* Manage couriers, mail, and postal activities.
* Supervise third-party contractors and inspect their work.
* Maintain visitors and contractors logs and report incidents.
* Execute emergency procedures such as fire, flood, break-in, or accidents.
* Liaise with clients and stakeholders to ensure quality service.
* Ensure compliance with health & safety regulations, inspecting signage and advising on defects.
* Maintain the fabric and finish of the site, arranging repairs as needed.
* Inspect common areas for leaks and coordinate remedial repairs.
* Act as first responder for RealTime FM and reactive tasks within the centre.
Qualifications
* At least 2 years experience in a similar facilities role.
* Excellent communication, interpersonal, and organizational skills.
* Basic PC literacy, including email, document management, and system information.
* Effective communication skills over the telephone and face-to-face.
* Strong planning and organizational skills to prioritize duties.
* Ability to complete tasks accurately and timely.
* Experience working in a fast-paced office environment.
* Dependable, flexible, and able to work independently or as part of a team.
* Experience in a busy mailroom department is advantageous.
* Educated to Leaving Certificate Level.
* Proficiency in MS Office packages: Word, Excel, PowerPoint.
* Experience in an office or healthcare environment.
* Basic understanding of health & safety practices.
* Experience with mailroom equipment and international courier systems.
