Reporting to the Administration Manager, this is a stand alone, hands on role within a collaborative team of approximately 60 employees.
Key responsibilities include:
Answering and managing a high volume switchboard (up to 700 calls per month), handling complex or unclear queries professionally and directing them to the appropriate department.
Managing multiple shared inboxes and ensuring emails are passed promptly to the correct teams.
Welcoming visitors and managing the sign in process in a warm and professional manner.
Coordinating daily post, confidential documentation, deliveries and couriers.
Liaising closely with an on site post room and internal departments.
Setting up boardrooms for meetings (including tea/coffee when required) for approximately two weeks per month, which involves an earlier start during these periods.
Supporting general office, facilities and administration tasks as needed.
The Ideal Candidate
Previous Reception or front of house experience required
Warm, friendly and professional with a strong customer service approach
Calm, organised and confident handling busy phone lines
Comfortable dealing with sensitive and sometimes confusing enquiries
Excellent multitasking and time-management skills
Discreet, reliable and respectful of confidentiality
Enjoys being office based and takes pride in creating a welcoming environment

Hours
Standard hours: 9:00am – 5:00pm, in Office on site.
Rotating early shift: 8:00am – 5:00pm, approximately two weeks per month (meeting support).
