Job Title:
Administrative Operations Specialist
We are seeking a highly organized and detail-oriented Administrative Operations Specialist to join our team.
Key Responsibilities:
* Manage and coordinate IDA grant submissions for the operations team, ensuring timely completion and compliance with regulations.
* Develop and maintain production and inventory records in ERP/MRP systems, tracking trends, tracing, and logging admin activity related to bi-yearly IDA submission.
* Provide administrative support to operations, manufacturing, and quality teams, including scheduling, tracking, and documentation control.
* Maintain accurate operational reports and metrics, daily, weekly, monthly.
* Support internal audits and regulatory inspections by organizing and retrieving required records, track and order supplies and consumables for manufacturing and cleanroom environments.
* Coordinate cross-functional meetings, take minutes, and follow up on action items, assist with onboarding and training logistics for new operations staff.
* Support health, safety, and environmental compliance activities, create IT tickets, maintain filing system for data required by operations.
* Compile forms such as parental, paternity, and force majeure, prepare regular reports and presentations, assist in paperwork for reworks in operations, raise POs as required.
Requirements:
* A minimum of 4 years of experience in an administrative or operations support role.
* Familiarity with medical device regulations is a plus.
* Strong organizational and time-management skills, high attention to detail and accuracy.
* Proficient with Microsoft Office Suite, experience with ERP systems.
* Excellent verbal and written communication skills, ability to work independently and within a team.
