Role Purpose The IT Coordinator plays a key role in ensuring smooth and efficient IT operations across the organisation. This includes managing day to day IT support, system administration, equipment lifecycle, procurement and user onboarding. The role also contributes to cybersecurity initiatives, workflow automation, and continuous improvement of IT processes, supporting both office and site-based teams.
Key Responsibilities
Systems, Processes & Compliance
Review and optimise IT systems, processes, and procedures to ensure best practice and operational efficiency.
Support the development, rollout, and maintenance of cybersecurity initiatives.
Oversee IT filing systems to ensure compliance with relevant legislation and internal policies.
Manage IT asset registers, software licences, and user access control.
Identify and deliver automation opportunities to streamline IT and business workflows.
Procurement, Budgeting & Equipment Management
Manage IT procurement activities, ensuring cost efficiency, reliability, and quality of service.
Monitor IT-related expenditure and system performance across the organisation.
Plan and manage annual capital expenditure for IT hardware (e.g., server upgrades, equipment replacements).
Coordinate the installation, configuration, and maintenance of hardware, software, and network devices.
User Support & Onboarding
Prepare and manage IT equipment for new hires, including laptops/desktops, tablets, phones, monitors, and required software.
Deliver comprehensive IT onboarding and induction sessions.
Manage user accounts, permissions, and security profiles.
Provide day to day IT support to office and site teams, ensuring prompt resolution of common hardware, software, and network issues.
Ensure rapid response times for site-based teams with business-critical needs.
Track, manage, and escape IT issues with partnered IT service providers to ensure timely resolution.
Digital Tools & Workflow Automation
Create digital forms and workflows using platforms such as Smartsheet and Wufoo to support data collection and automation.
Act as a Datto Workplace, Procore and HammerTech superuser, managing system administration, user training, troubleshooting, and ongoing process optimisation within these platforms.
You Will Need
3–5 years’ experience in an IT Coordinator, IT Administrator, or IT Support role within a construction, engineering, or multi-site environment.
A degree or diploma in IT, Information Systems, Engineering or a related discipline.
Strong working knowledge of IT infrastructure, networks, and system administration, with experience supporting both office and site-based teams.
Experience managing IT asset registers, software licences, user permissions, and hardware lifecycle planning, including procurement coordination and vendor management.
Proven experience working with external IT service providers, including issue escalation, performance monitoring, and SLA oversight.
Exposure to cybersecurity best practices, access control management, and data protection compliance.
Proficiency in Microsoft 365, with strong working knowledge of platforms such as Datto Workplace, Procore, HammerTech, Smartsheet, and Wufoo.
Experience developing and optimising digital forms and automated workflows to improve operational efficiency.
Project management exposure (e.g., PRINCE2 or equivalent) is desirable.
Comfortable engaging directly with operational teams and visiting construction sites as required.
Strong organisational, communication, and problem-solving skills, with the ability to manage multiple priorities and explain technical matters clearly to non-technical users.
A proactive, solutions-focused mindset with high levels of integrity, discretion, and professionalism under pressure.
