Dublin Zoo is seeking a proactive and organised
Events and Partnerships Assistant
to support the delivery of corporate and public events and partnership activity across the Zoo. As part of the Commercial Operations team, you'll be working behind the scenes on everything from family fun days to corporate hospitality, helping us create memorable experiences that also support Dublin Zoo's conservation mission.
This role would suit someone at an early stage in their events or commercial career who enjoys variety, likes being hands-on, and values working as part of a supportive team in a mission-driven organisation.
Working hours for this role are scheduled across 5 days over a 7-day period.
Key Responsibilities:
Events & Guest Experience
* Supporting the planning and delivery of corporate and public events, including logistics, suppliers, venue set-ups and guest lists.
* Provide on-the-ground support for events including evenings and weekends, ensuring high-quality execution. Acting as a friendly point of contact for colleagues, suppliers and guests during events
* Respond to event-related queries and coordinate internal calendars and venue bookings.
* Maintain event documents, timelines, and checklists to ensure operational efficiency.
* Help coordinate event materials including signage, hospitality kits, and branded collateral etc.
Partnership Activation & Admin:
* Support the delivery of sponsor and partner benefits during events (e.g. branding, product sampling, VIP attendance).
* Track fulfilment of partnership obligations and assist in preparing post-activation reports.
* Maintaining accurate records of partners, suppliers and contacts.
* Help draft basic sponsor proposals, decks, and summaries for review.
Admin & Financial Support:
* Assist with event and sponsorship budget tracking, processing purchase orders, invoices, and logging expenses.
* Recording event outcomes, guest feedback and key performance information.
* Liaise with the Finance team on procurement, billing, and reporting matters.
Teamwork & Collaboration:
* Working closely with the Corporate Partnerships & Events Lead to ensure clear communication and smooth delivery.
* Collaborate with the Marketing team on partner visibility across channels and collateral.
* Liaise with internal departments to coordinate event requirements and logistics.
* Coordinate internal event communications including team updates, event briefings, and operational updates.
* Taking part in cross-departmental meetings and project updates as required.
Essential Skills and Experience:
* 1+ year experience in events, hospitality, or related environment.
* Excellent communication and interpersonal skills, with a strong focus on guest experience.
* Highly organised with the ability to manage multiple priorities and tight timelines.
* Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint); CRM experience a plus.
* Demonstrated interest in events, sponsorship, or commercial development.
* Evening and weekend work required during key events.
* Ability to work indoors and outdoors across Dublin Zoo's grounds.
Desirable:
* Familiarity with event coordination, guest list management, or sponsor support.
* Awareness of brand and partnership representation in public settings.
