Job Description (Roles and Responsibilities)

Who are we?

The British Embassy in Dublin is part of a world-wide network, representing UK political, economic and consular interests overseas, and is now recruiting for a Visits & Events Officer position.

Main purpose of the job:

We are recruiting a new Visits & Events Officer, an exciting role at the heart of the Embassy’s work, based within the Political & Public Engagement Team. You will be responsible for organising the regular flow of trips to Dublin and elsewhere in Ireland by high-level visitors from the UK, including MPs, Ministers, members of the royal family, and senior officials. You will also play a supporting role in organising the Embassy’s busy schedule of events, such as receptions and panels.

Both roles will require you to work across all the teams in the Embassy, from policy colleagues to corporate services, to ensure visits and events are well-run and in support of UK policy objectives. Visits and events are a central tool of influence for all of our core objectives. The role will also require you to build strong and load-bearing relationships with a wide range of external stakeholders, in both Ireland and the UK, such as the AGS and DFAT Protocol. Delivering visits and events relies on a wide ecosystem of partners, all of whom are crucial to success and must be well managed.

A role in the Embassy is a fantastic opportunity to be at the centre of the vital UK-Ireland relationship, to engage with a wide range of Irish stakeholders and across Whitehall and be part of a busy team. As the UK/Ireland relationship and priorities evolve we are looking for candidates who are keen to flex and engage across the full range of the Embassy”s work. As a high-performing team, the Embassy is creative, ambitious, and collaborative. We operate with kindness and respect, and we value and champion diversity in all its forms.

Your main responsibilities will include:

* Enabling high-level visits by ministers, senior officials, and others (60% of your time). Working with policy colleagues and corporate services to provide a high-quality service to important UK visitors to Ireland, including ensuring transport, accommodation, security and other arrangements are in order. The nature of visits will vary, from short daytrips to Dublin to extensive multi-day and multi-city visits by VIPs;
* Supporting the delivery of Embassy events (25%). Working with another part-time Events Officer at the Embassy and an Events Lead at the Ambassador’s Residence to plan and deliver Embassy events – ranging from large receptions to smaller panel discussions and other such things. A creative and collaborative approach is required;
* Coordinating the rhythm of visits and events across the Embassy (10%). Ensuring that seniors and staff within the Embassy have a clear view on the pipeline of visits and can allocate resources effectively or prioritise and deconflict where needed. Providing advice and guidance to colleagues to develop event and visit ideas and generate new proposals.

General skills required of the role include being highly organised and able to prioritise competing demands, experience at delivering a high-quality service to senior stakeholders, and the ability to work with others in a collaborative and collegiate manner to deliver the Embassy’s goals. The relationships you build with key external partners will be vital to the success of your job, and thus your ability to develop and manage these relationships is crucial.
