We have an exciting opportunity for a Reservations Manager to join our team.
Reporting directly to the General Manager and Operations Manager, working closely with the Sales & Marketing Manager and Front Office team.
This role is ideal for a self-motivated, driven candidate with a minimum of one year experience in using Hotsoft and a background in dealing with group bookings and all general hotel reservations.
Only those candidates with the relevant experience will be contacted for interview and to progress in the application process.
* To handle all reservations bookings on the phone, and to promote a friendly and efficient service whilst on the phone to potential customers.
* To check for incoming correspondence overnight.
* Check all reservations entered from the previous day ensuring correct rates, and that credit card details are provided, block room numbers, etc.
* Overdue deposits to be checked and actioned.
* No-shows contacted and charged for one night's accommodation.
* Complete a quality check on the following days arrivals, check for duplicate bookings and ensure all sales ledger are set up.
* Liaise with reception to ensure a quality check for arrivals for one week ahead is done ensuring all reservations are guaranteed and sales ledger set up and updated.
* To input reservations into Hotsoft ensuring all information is correct, and guaranteeing the booking with a credit card, all fields must be filled in.
* To send confirmation letters / emails to customers where appropriate as quickly and efficiently as possible.
* Where Hotel is fully booked, to ensure we have a waiting list and action this if/when we receive a cancellation.
* To explain cancellation policy clearly to every person who has made a reservation, otherwise the no-show charge may not be charged.
* To deal with all group reservations and all the administration that this entails, including method of payment, contact person, etc.
* To complete all sales ledger tasks accurately.
* To set up new accounts on Hotsoft, ensuring that all the details are accurate, paying particular attention to payment details.
* To respond to all internet/email inquiries and/or bookings ensuring they are dealt with in the proper fashion.
* To ensure that all information relating to Reservations and bookings are filed in a logical and organised fashion.
* To complete Daily report and email to relevant people.
* Ensure that all bookings are correctly handled in line with rate parity.
* Maximise in-house selling wherever possible and remain vigilant for all potential sales opportunities.
* To assist on the Front Desk where necessary.
* To post all transactions accurately in line with accounting procedures.
* To be aware of room availability, room rates, etc always to ensure that correct rates are sold for the correct periods, e.g., bank holidays, weekends, mid-week. Also ensure quiet weekends are actioned e.g., have a special offer.
* Answer phones in a courteous and helpful manner always, taking advantage of every potential sales opportunity.
* To actively communicate and promote our services and facilities to guests as required.
* To liaise with other departments within the Hotel to ensure smooth operations as much as possible.
* To perform other duties as necessary to ensure the smooth running and efficient operation of the Hotel.
* To provide attentive service to guests, attending to special requests and anticipating guests needs.
* To consistently deliver the Nuremore Estate Hospitality Promise, and deliver superior customer service.
* To deal with any customer complaints in a professional manner and to notify management of same.
