Role Overview:


Administrative Support Position

This role is responsible for providing administrative support to the team, performing day-to-day administrative functions, and assigned tasks related to reception management, facility services, building maintenance, engineering projects, and equipment maintenance.

Key Responsibilities:

* Welcoming colleagues, visitors, and vendors via phone, email, or in-person visits.
* Maintaining electronic and paper records, scheduling services, and connecting with team members.
* Performing general facility support activities and leading vendors related to one or multiple functions, such as building security issues, access system maintenance, pest control, exterior grounds, and contract cleaning.
* Maintenance of buildings or equipment, including completion of work orders, scheduled routine maintenance, preventative maintenance, and repairs.
* Coordination of transportation of people and items, as well as coordination of purchase of supplies and management of supply inventories.
* Responding to facility-related emergencies and coordinating activities with outside contractors and vendors as needed.

Requirements:

* Leaving Certificate or equivalent qualification.
* Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to at least 1-2 years).
* Able to communicate effectively with diverse groups of people and maintain confidentiality.
* Familiarity with office equipment and technology, with ability to learn new systems quickly.
