As part of JLL's global network, we deliver world-class expertise in capital markets, leasing, property management, and advisory services to help clients achieve their real estate objectives.We are looking for an experiencedExecutive Assistant to support our CEO and Capital Markets Transaction teamwithin our Ireland operations for a 12 month fixed term contract.ResponsibilitiesSupport the CEOMaintain professionalism and strict confidentiality with all materials and information, while exercising discretion when interfacing with the businessCoordinate complex scheduling and extensive calendar management across multiple time zonesGather and assist putting together presentations for speaking events,board meetings and TownhallsManage, coordinate, and arrange senior executives' international travel and travel-related activities, including accommodation and producing detailed itineraries (visas/tests where applicable)Deal with telephone calls and emails from clients and colleagues in a professional manner and escalating any issuesDevelop and maintain effective working relationships with clients (externally) and colleagues (internally)Support the Capital Markets Transaction TeamSupport with project work and transaction coordination (when required)Organise meetings and presentationsProvide wide ranging administrative assistance & assist in maintaining electronic filing system in conjunction with the team ensuring all necessary documents are saved in the correct locationAssist in organising team communications and plan events, both internally and offsite (e.g. client events, quarterly senior leadership meetings, monthly WIP & BOV team meetings)Preparing billing invoices for the transaction teamAssist and manage marketing process/billing for all disposal transactionsChampion and update Capital Markets' CRM system –Capforce, ensuring data is accurate monthly for billing and pipeline purposesPrepare and submit expense reportsAssist with deal documentation and due diligence coordination including compliance checksSupport pitch preparation and client presentation materials, ensuring consistency in line with branding for all client facing materialKey Skills5+ years' experience as a Personal Assistant or Executive AssistantExcellent English written and verbal communication skillsConfidence in dealing with high level internal and external stakeholdersStrong time-management and organisational skillsProficiency in Microsoft Office, Excel, PowerPoint etc. with a basic knowledge of accounting systems being an advantageFlexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge in a fast-paced working environmentExperience in Professional ServicesContract:12 Month Fixed Term ContractLocation:Ireland
