Senior Administrator for a leading university in Dublin city centre Hours:35 hours per week 9-5 Contract Duration: To start asap - Initial contract until the end of June Pay - €***** per hour 35 hours per week - Monday - Friday 9-5pm I am seeking a highly organised and proactive Senior Administrative Officer to provide executive-level support within a high-profile sustainability and leadership function in a leading academic institution.
This is a fast-paced and visible role, supporting senior leadership and contributing to strategic sustainability initiatives.
The successful candidate will operate at a high level, engaging with senior internal and external stakeholders and ensuring the smooth delivery of key programmes Key Responsibilities Provide high-level administrative and executive support to a senior leadership role (Vice-President level) and the wider Sustainability Office.
Ensure the Vice-President is fully prepared for meetings, including: Preparing briefing notes and memos Collating and reviewing meeting documentation Support the implementation of strategic programmes and initiatives, including sustainability and wellbeing-focused projects.
Provide administrative and secretariat support to working groups and committees, including proactive engagement with senior stakeholders.
Manage a high volume of correspondence (email, calls, written communication), ensuring timely responses and appropriate escalation.
Coordinate complex scheduling and diary management across multiple stakeholders.
Oversee financial administration, including: Processing payments Liaising with finance partners Monitoring budgets and providing updates Use initiative to identify issues and implement solutions in a dynamic environment.
Support additional tasks and projects as required by senior leadership.
Key Skills & Experience Proven experience in a senior administrative, executive assistant, or programme support role (ideally supporting senior leadership).
Exceptional written and verbal communication skills.
Advanced IT proficiency, particularly in: Microsoft Word, Excel, Outlook, and Teams Strong organisational and time management skills, with the ability to prioritise effectively in a busy environment.
Experience managing complex diaries and coordinating senior-level meetings.
Financial administration experience (budgets, payments, reporting) is highly desirable.
Ability to work independently, demonstrating initiative and sound judgement.
