Role Purpose
The Reception & Administrative Support role is responsible for ensuring efficient front-desk operations, managing student services, maintaining internal communication, and providing administrative support across departments. This position plays a crucial role in welcoming students and visitors, managing daily school operations, and facilitating a well-organized and professional environment.
Key Responsibilities
Front Desk & Communication Management:
○ Manage info email account and respond to student inquiries.
○ Greet and welcome students and visitors professionally.
○ Direct visitors to appropriate offices or staff members.
○ Answer, screen, and forward incoming phone calls.
○ Provide accurate information in person, via phone, and email.
○ Issue school-related letters, including enrollment, accommodation, and reference letters.
Administrative & Operational Support:
○ Receive, sort, and distribute daily mail, deliveries, emails, and leads.
○ Manage bookings for student accommodation and airport transportation.
○ Ensure the reception area is clean, organized, and presentable.
○ Maintain office security by following safety procedures and monitoring access.
○ Provide school materials to students and issue service quotes when necessary.
Facility & Resource Management:
○ Accompany service providers (electricians, maintenance workers) in the building.
○ Maintain book control and ensure adequate inventory.
○ Manage supply procurement for school needs, including office and cleaning supplies.
○ Organize and store bin boxes within the building.
Attendance & Student Support:
○ Print, distribute, and scan attendance letters daily for teachers.
○ Maintain effective internal communication with other departments to support students.
○ Train interns under the Erasmus programme.
○ Assist in managing student payments, morning fees, exams, and book purchases.
○ Provide support to the Director of Studies in student-related matters.

Other Requirements:
○ Bachelor's degree in Administration, Business, or a related field (preferred).
○ Previous experience in reception, administrative support, or student services (preferred).
○ Familiarity with student management systems and office management tools.
What we offer:
Fixed Term Contract - 12 months
Full Time Hours - 35h per week - 8:30am to 5pm Mon to Thur and 8:30am to 1:30pm on Fridays - weekends free
Hourly Rate of Pay EUR per hour
