Job Description:
We are seeking a detail-oriented and highly organised Office Administrator to join our team. The successful candidate will be responsible for coordinating various aspects of transfrontier shipment documentation, as well as health, safety, and environmental documentation. In addition, the role will involve coordinating vehicle inspections, ensuring compliance with DOE (Department of the Environment) / CVRT (Commercial Vehicle Roadworthiness Test), and managing garage and maintenance documentation for the fleet.
The ideal candidate will have excellent communication skills, the ability to multitask, and a high level of attention to detail. You will play a critical role in ensuring smooth operations, compliance, and documentation management.

Key Responsibilities:
1. Transfrontier Shipment Documentation:
2. Ensure timely and accurate completion of shipment documentation for transfrontier movements.
3. Work with external agencies to ensure compliance with all regulations.
4. Manage the filing and tracking of shipment paperwork.
5. Health, Safety, and Environmental Documentation:
6. Assist in maintaining health and safety records and ensuring compliance with regulations.
7. Support the company's efforts to meet environmental regulations and safety standards.
8. Prepare and file reports, safety certifications, and environmental records.
9. Vehicle Inspections & Compliance:
10. Coordinate scheduling of vehicle inspections in compliance with DOE / CVRT standards.
11. Ensure all vehicles are regularly maintained, and inspections are documented.
12. Maintain records of vehicle inspections and maintenance schedules.
13. Garage & Maintenance Documentation:
14. Oversee the documentation process for fleet maintenance, repairs, and servicing.
15. Ensure all garage/maintenance activities are logged accurately and efficiently.
16. Manage vehicle servicing schedules to minimise downtime.
17. General Administration:
18. Provide administrative support for the fleet and logistics department.
19. Communicate with internal and external stakeholders to resolve issues and queries.
20. Organise meetings, maintain calendars, and manage office documentation.

Required Skills and Qualifications:
Experience:
* Previous experience in office administration, logistics, or fleet management is highly desirable.
* Familiarity with transfrontier shipment and vehicle maintenance processes is an advantage.
Skills:
* Strong organisational skills with the ability to manage multiple tasks simultaneously.
* Excellent attention to detail and ability to maintain accurate records.
* Proficiency in Microsoft Office (Excel, Word, Outlook) and general office software.
* Ability to manage documentation and ensure compliance with legal and safety standards.
* Strong communication skills (both written and verbal) in English.
* Ability to liaise with external agencies and stakeholders.

Desirable Qualifications:
