CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting for a Receptionist to join our team and deliver Soft Facilities Management services on our client account.
The position is responsible for making a world-class first impression of the organization, upholding client values, and guiding customers through important moments. Strong work and problem-solving skills are essential. Our team adheres to service standards that embody core behaviors in every interaction.
Key Responsibilities:
1. Manage the Visitor Management system, ensuring all guests receive a professional welcome, with badges prepared in advance for a seamless experience.
2. Welcome internal colleagues courteously and professionally.
3. Maintain ownership of the reception area, collaborating with colleagues and service partners to ensure it reflects a positive company image.
4. Assist with issuing and delivering lost and forgotten passes.
5. Use technology platforms to scan loaned items in and out within agreed timelines.
6. Engage positively with colleagues, clients, and stakeholders to ensure seamless service and coordination across departments.
7. Provide general administrative support, including photocopying, filing, and data entry.
8. Report issues impacting building operations and collaborate to resolve tickets and jobs promptly.
9. Support the Admin team by managing workplace tickets on the ticketing system.
10. Build and maintain strong relationships with the Security Team to ensure building security.
11. Report health and safety hazards and take proactive steps to resolve risks.
12. Provide information on local transport links and service statuses to guests.
13. Maintain knowledge of local amenities and directions.
14. Familiarize with Workplace Coordinator roles to provide cover when required.
15. Assist the wider team during peak periods and work flexible hours as needed.
16. Perform manual handling tasks up to 25KG.
17. Promote and uphold CBRE and client core values.
18. Perform other duties as assigned.
19. Ensure services are delivered according to client strategy and Workplace Management guidelines.
20. Complete all tasks in a timely manner and ensure proper training for mail room operations.
21. Assist with managing Desk Booking, Locker systems, and meeting room setups.
22. Undertake tasks as directed by workplace coordinators and senior management.
Communication Skills:
* Ability to understand and interpret instructions, correspondence, and memos, asking clarifying questions as needed.
* Respond effectively to inquiries or complaints from clients, colleagues, and supervisors.
Person Specification:
* Proven experience as a Facilities Assistant, Receptionist, or similar role, preferably in hotel, service industry, or corporate environment.
* Strong customer focus and team spirit.
* Excellent communication and interpersonal skills with a professional demeanor.
* Strong organizational skills and attention to detail.
* Ability to multitask and prioritize effectively in a fast-paced environment.
* Positive attitude and willingness to learn and adapt.
* Maintain confidentiality and handle sensitive information discreetly.
* Punctuality and reliability are essential.
* Comfortable with new technologies and digital tools.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
