Assistant Export Documentation Manager

As an integral part of a strong export team the successful candidate will work closely with the local export team, reporting to our export team manager in Dublin.

Role Overview

The Assistant Export Documentation Manager will support the Export Documentation Manager in overseeing all export paperwork and related processes to ensure compliant, on‑time international shipments.

The role combines hands‑on document processing with supervision, process control, and coordination with customers, carriers, and internal operations.

Key responsibilities

* Supervise day‑to‑day export documentation activities including allocation of work to the export team. Ensuring accuracy and completeness of all documents (bills of lading, manifests, customs documents).

* Review and approve documentation prepared by the export documentation team and external agents to ensure compliance with country, customer, and carrier requirements.

* Coordinate closely with the export documentation staff, logistics, sales and customer service departments.

* Monitor export files from booking release through shipment and final documentation dispatch, proactively resolving issues such as discrepancies, delays, and customs queries. Ensure manifests are submitted within specified AMS / ACI deadlines

* Ensure adherence to international trade regulations, sanctions, and local customs rules, escalating potential compliance risks to the Export/Documentation Manager.

* Coordinate closely with the export documentation, logistics, sales and customer service departments to align shipment documentation with customer contracts and credit terms.

* Assist Documentation Manager in training and mentoring documentation staff on procedures, systems, and regulatory updates.

* Contribute to continuous improvement initiatives in export processes (e.g., reduction of document errors and delays).

Required qualifications

* 3–5 years' experience in export documentation, shipping, or freight forwarding, including hands‑on preparation of export documents.

* Strong working knowledge of international shipping practices, Incoterms, HS codes, and core customs/export control concepts.

Skills and competencies

* Detail‑oriented with a strong focus on document accuracy and compliance.

* Solid understanding of international trade regulations and customer/country‑specific documentation requirements.

* Strong organizational and time‑management skills, able to manage multiple shipments and deadlines simultaneously.

* Effective communication skills for coordinating with customers, carriers, forwarders, and internal stakeholders.

* Problem‑solving mindset with the ability to investigate and resolve documentation and shipment issues quickly.

* Ability to work under pressure in a fast‑paced shipping environment and make sound operational decisions.

* Team‑oriented, with experience guiding or coaching junior staff preferred.

* Role is office‑based, with peak workloads tied to vessel cut‑offs and seasonal volume fluctuations.
