Unijobs DAC are currently recruiting for an Administrator for the Ceremonies Office at the University of Limerick. The position is temporary, full time, working 35 hours per week. The rate of pay is starting at €18.86 per hour. The position is initially anticipated to be until April 2027 with the possibility of extension thereafter. Job Purpose The Ceremonies Office organise and manage all aspects of event planning and delivery of graduation and honorary doctorate conferring ceremonies as well as other strategic events such as scholarship awards and VIP events. The post holders must have well developed communication, organisation and administrative skills. Reporting to the Manager, Ceremonies Office, the post holder will be required to support the administrative duties and operational procedures involved in the organisation of these strategic university events. Key Responsibilities: Oversee and manage social media content and posting to UL Ceremonies Office platforms, attend monthly Marketing & Communications meetings, management of marketing administration and creative applications across web, SharePoint, email, CRM. Support management of VIP events in conjunction with Conferring Ceremonies held throughout the year. Preparation of briefing documents and itineraries for each conferring ceremony. Liaise with approved providers and suppliers regarding all services required to deliver Conferring Ceremonies. Oversee implementation of Name-Coach and Bulk-text systems. Create and maintain MS Forms. Arrange, attend and act as the recording secretary at Ceremonies Committee meetings and Faculty Representative Committee meetings. Monitor Ceremonies Office email account and respond to all queries in a timely and professional manner. Update Ceremonies Office Standard Operating Systems (SOP's) as required. General administration duties to support the Manager, Ceremonies Office and the wider team within the office. Compile sensitive student contact data to generate correspondence regarding graduation ceremonies. Liaising with internal and external stakeholders who provide support and services for our events. Event Management: support the delivery of smaller events when delegated by Office Manager, Ceremonies Office. Assist with graduand and lining-up at all conferring ceremonies and other events. Flexibility regarding the allocation of specific duties will be necessary. Accordingly, the list of duties detailed above is not intended to be exclusive or restrictive. Essential Requirements: Excellent knowledge of a variety of information systems used for managing data such as databases (MS Excel), online filing systems (SharePoint), purchasing systems (Agresso). Experience of delivering large scale events in a high-pressure environment. Previous experience in event management. Proficiency in MS Office Applications Evidence of high levels of accuracy and attention to detail. Good interpersonal, written and verbal communication skills. Flexible approach to work. A minimum of 2 years' relevant work experience in a professional office environment working to tight deadlines. Ability to develop and build close working relationships with diverse teams. Knowledge of operating processes and workflows. Desirable Requirements: Knowledge of the University's regulations and procedure and the internal structure of UL. Familiarity in dealing with VIP events managed by the UL Ceremonies Office. Excellent organisational and administrative skills, ability to handle multiple tasks and plan work from more than one source to meet deadlines.
