Overview: Our client, a Well known Construction/Facilities Management company is currently looking for a experienced Office Manager to join their Head Office.
This position will be an integral part of the company and work closely with the CEO & COO.
The role will ideally suit someone coming from a similar Industry background who is looking to join a company currently undergoing a period of sustained growth.
This role will give this person exposure to every aspect of the business.
Responsibilities: Office Administration: Manage office supplies, facilities maintenance, vendor contracts, mail handling, and ensure an efficient, well-maintained workplace environment.
Travel and Accommodation: Arrange domestic and international travel, accommodation, and manage itineraries and visa requirements for staff and directors.
Health and Safety: Maintain up-to-date health and safety policies, schedule staff training, and coordinate certifications and audits (Safe T Cert, ISO, CIRI).
Financial Management: Handle expense reporting, manage vehicle fleet maintenance, and oversee subscriptions and software license renewals.
IT and Technical Support: Act as the main point of contact for outsourced IT services, logging support issues and coordinating IT resources.
Employee Onboarding: Organize new hire inductions, prepare equipment, and support new employees' setup processes.
Reception and Front Desk Duties: Manage incoming calls, greet visitors, and act as the front of house for the office.
Administrative and Secretarial Support: Prepare documents, presentations, meeting agendas, minutes, and provide general admin support to the team.
CEO and Director Support: Assist the CEO with ad hoc tasks, email drafting, diary management, and support external commitments (e.g., tourism board).
Event Planning and Marketing Support: Help coordinate events and assist the communications team with marketing material preparation and project documentation.
Qualifications: You will have 5+ years of administrative experience (ideally in an engineering/construction environment but not a necessity).
Natural IT aptitude, Proficient in MS Suite.
You will have excellent communication and interpersonal skills.
Strong organisational and time-management skills.
You will have the ability to work independently and as part of a team.
