With a strong, values-driven workforce, we ensure Uisce Éireann can continue advancing Ireland’s water services and meeting the needs of the communities we serve for generations to come.The Role:The Facilities area is responsible for obtaining and maintaining UÉ's headquarters and regional offices, including activities such as: security, property management, spatial planning, capital projects and building management. The function has the responsibility of delivering a highly effective Facilities Management Service for UÉ, this involves reviewing and implementing solutions to meet the current and future property and maintenance needs of the business, safeguarding the security of all UÉ’s facilities and locations and the management of the company’s complex fleet. It is an area that is and will be subject to notable change and expansion, supporting a large capital investment program, over the next number of years.The facilities Operations team oversee and manage the provision of all Facilities Management Services for the UÉ Premises nationally including Reception & Post Services, Spatial Planning, Cleaning, Waste, Energy, Catering, Stationery, Archiving, Employee Welfare and Building Maintenance. The team drive the delivery of all operational activities planned, corrective, reactive and emergencies associated with the assigned properties, taking responsibility for their safe completion on time, within scope and within budget and manage the set-up and integration of new properties and assets from the Facility Capital Projects and Infrastructure Delivery teams into Facilities Operations.Reporting to the Regional Facilities Technical Lead, the Regional Facilities Engineer is a key member of the Facilities Operations Team and will be responsible for supporting the delivery of facilities management services across our commercial sites in the Eastern and Southeastern regions as well as supporting the facilities team delivering strategic goals at a national level. This role will be key in supporting the team delivery the UET program as UÉ expands its portfolio of commercial buildings, stores and depots.Main Duties and Responsibilities:Support the provision of all Facilities Management (FM) services on commercial offices, depots and stores which could potentially include Reception Services, Spatial Planning, Capital project support, Cleaning, Catering, Postal services and Building Maintenance.Support the mobilisation of FM and services on new commercial sites, and ongoing management of existing commercial sites.Support the Facilities Team (as required) on strategically important projects as part of UÉT (Uisce Éireann Transformation project) such as Offices, National Stores and Depots, Laboratories etc. as part of the transformation of the water services industry in Ireland over the coming years.Support the delivery of all operational activities planned, corrective, reactive and emergencies associated with the assigned properties, taking responsibility for their safe completion on time, within scope and within budget.Support the day-to-day facilities issues and act as an escalation point, taking ownership of problems seeing them through to resolution.Carry out audits of the UÉ FM delivery partner in the areas of Health & Safety, KPI’s, adherence to UÉ policies, work order management including the HSQE Flex Manager Audit platform.Conduct Monthly site audits with the FM Supplier and record findings.Support the Regional Facilities Technical Lead in preparation for any upcoming ISO Audits.Track and monitor performance of the Facility Management supplier and record any breaches on the UE Contractor performance platform.Develop and maintain strategic relationships and attend meetings with Stakeholders to ensure successful FM delivery. Promote a strong customer service culture and ensure that a high quality, responsive and effective service is provided to all customers.Liaise with Landlords as required.Conduct Monthly site walks with the FM Management company to ensure all offices are fully maintained to a very high standard.Ensure delivery of FM services within annual FM operational budgets and identify and manage any risks to budgets ensuring necessary approvals.Ensure statutory compliance and the reporting of non-compliance to line manager.Manage and direct third-party contracts and resources to deliver FM services.Manage and review weekly cost accruals.Review quotes submitted to ensure market value.Support the Regional Facilities Technical Lead in preparation for the yearly operations and capital investment budget submission for the upcoming financial year.Support and participate in Business Continuity, Crisis Management and disaster recovery planning.Promote and encourage Sustainability, Energy and Environmental policies.Support the set-up and mobilisation of new properties and assets from the Facilities Capital Projects and Property team into Facilities Operations. Also, support the Capital Projects team on the ongoing capital upgrades of buildings and system replacements.Manage FM in line with UÉ (HSQE) Health, Safety, Quality and Environmental requirements.Raise risks and issues as appropriate to the Regional Facilities Technical Lead.Attend Weekly FM Operational Meetings with the Facility Management company and UE Facilities TeamPrepare monthly regional performance reports for the operations monthly meetingOther duties as maybe assigned from time to time.The role requires flexibility to extend working hours, work across regions as required addressing needs and the possibility of being a member of the on-call rota.General Duties and ResponsibilitiesCollaboration with key internal stakeholders across the UÉ businessResponsible for promoting and delivering health and safety commitments across UÉ and its supply chain, reinforcing positive behaviours and delivering health and safety objectives and requirements to the highest industry standardsSupport the delivery of the Uisce Éireann Transformation Programme, driving results required within the Directorate and supporting organisation-wide objectivesConducts duties and responsibilities in accordance with Uisce Éireann’s Information Security policies, standards, processes and controls to protect the confidentiality, integrity and availability of UÉ business information and delivery of critical services, in accordance with the NIS Directive and any other relevant cybersecurity regulationOther duties as requiredKnowledge, Skills and ExperienceRelevant third level qualification and or accreditation is desirable.A minimum of 3 years’ experience in Facilities Management is desirable and or relevant experience.Ability to develop and maintain effective partnerships with key stakeholders internally and externally.Proven track record with dealing with complex issues, proactively and in a timely fashion along with the ability to communicate information to others.Highly motivated individual, working to the highest professional standards and with proven ability to deliver results within a team.Strong analytical skills and ability to identify and analyse problems and potential improvements and propose and implement solutions.Demonstrate adaptability and the ability to change focus and direction in line with business strategy and requirements.
