Reception and Administrative Assistant
We are seeking a highly organized and efficient Reception and Administrative Assistant to join our team in Dublin.
* The ideal candidate will be responsible for managing all aspects of the reception area, including greeting and directing visitors, overseeing the inbox, updating contact lists, booking couriers and taxis, and liaising with IT for room set-ups.
About This Role
This is a key member of the team position that requires strong organizational and communication skills. As a Reception and Administrative Assistant, you will be working closely with the rest of the team to ensure seamless day-to-day operations.
Key Responsibilities:
* Manage the reception area, ensuring a professional and welcoming environment.
* Greet and direct visitors, as well as respond to telephone calls and emails.
* Oversee the inbox, sorting and prioritizing correspondence.
* Update contact lists, phone directories, and other relevant documents.
* Book couriers and taxis, as well as log on Excel sheets.
* Update the reception manual, ensuring all information is up-to-date and accurate.
* Manage all aspects of fobs, new visitors, and staff.
* Liaise with IT for all IT requirements, including room set-ups.
* Manage meeting rooms, including set-up and preparation.
* Prepare catering orders and manage stationery supplies.
Requirements:
* Previous experience in a similar role.
* Excellent organizational and communication skills.
* Ability to work independently and as part of a team.
* Proficiency in Microsoft Office and Excel.
