IDA Global Facilities Department welcomes applicants for the role of Facilities Executive within a dynamic and driven existing team.
The successful candidate will be integral to the smooth delivery of hard and soft services in addition to project delivery and the climate action plan.
This role will be the main point of contact and responsible for the delivery of soft services and front-of-house duties within the existing facilities management contract.
Other responsibilities include mechanical and electrical management, project delivery, health and safety, budget management, office services and lease management for their building portfolio.
The role is based in IDA Global Head Quarters in Dublin, but travel is required to manage this FM contract.
The applicant must be technically strong and demonstrate knowledge in managing a multi-site facilities management contract, project delivery, procurement and health and safety background.
Key Tasks
Manages the daily operational services within the scope of the facilities management contract by way of our FM service provider across the nine regional offices, to support IDA's global network of offices.
This includes, but is not limited to facilities management contracts, maintenance contracts.
Manage Soft Services – Reception, Security, Alarm Monitoring, Confidential Waste, Sanitary Waste collections, pest control, extract canopies and ducting cleaning, window cleaning, plant maintenance and cleaning; proactively engage with clients and stakeholders on issues ensuring the highest standards are adhered to at all times.
Review PPM reports and recommendations.
Project-manage externally appointed contractors and other agents to ensure economic and timely delivery in line with IDA objectives.
Ensure the room setup of IDA events and large visitor bookings is delivered in line with IDA KPIs.
Support the property management and lease management of IDA Ireland's office buildings.
Manage the preventative maintenance program for 3PP and the nine regional offices to ensure the organisation's health & safety and legislative responsibilities are achieved across all soft services, dual monitoring of some hard services due to their importance – emergency lighting, PAT testing, distribution board thermal imaging, gas detection, grease trap maintenance, leak detection, legionella & bacteria sampling.
Support procurement and tender processes across the facilities portfolio in line with best practice for public agencies.
Adhere to the Office of Government Procurement frameworks applicable to IDA's Global Facilities Department.
Ensure IDA Global Facilities Department procedures and government procurement regulations are fully implemented.
Support the constant review and implementation of IDA Ireland's health and safety policy and procedures across all IDA offices (Dublin headquarters, regional offices, and overseas offices) as required.
Perform daily operational activities with IDA landlords and with our sub-tenants, SFI, SEAI and MI in 3PP.
Manage IDA projects as and when required.
Use technology effectively to manage facilities activities in the most effective and efficient manner to protect the corporate governance of IDA.
Demonstrate flexibility in undertaking specific project assignments across IDA's Global Facilities Department as required.
Prepare and present proposals to the relevant IDA committees/board as appropriate.
Support the lease expiry process and dilapidations liability in IDA's property portfolio.

Additional Requirements
Demonstrate a proven track record of managing soft services within a multi-tenancy building and multiple sites.
A relevant Level 8 third-level business/sector-related degree recognised on the National Qualification Framework is essential.
A full driving licence is essential.
Ability to work well under pressure, independently and on own initiative.
Minimum of 5 years' experience in facilities contract management (soft services industry).
Aspects of this role will require travel and working outside of normal office hours.

Salary Scale
€52,026 to €74,725 per annum contributory superannuation.
Rising by long-service increments to €76,521 (after 3 years satisfactory service at the maximum of the scale).
