Patient Services Department
We are currently looking to hire a Grade V Data Information and Projects Officer in our Patient Services team here in the Rotunda. The successful candidates will be working alongside a team of dedicated Patient Services professionals. Under general supervision and following established policies and procedures, the successful candidate will supervise and ensure a comprehensive service is provided the in accordance with agreed policies and procedures as laid down by the Patient Services Manager and Hospital. We may create a panel of future candidates from this competition.
Based in the City Centre and on the grounds of the oldest continuously operating maternity hospital in the world, you will have the opportunity to work with colleagues across all professional disciplines and become part of the Rotunda family.
Key Responsibilities & Accountabilities
* Provide support to the iPMS system administrator and work with them to ensure that staff members use the hospital databases as designed.
* Develop, design and deliver user training on the hospitals administrative applications.
* Promote effective and efficient use of the iPMS & MNCMS systems within the Patient Services Department.
* Evaluate the technology behind the hospital databases and implement new tools or processes to effectively collect data.
* Work with Clinical Activity Reporting Unit manager to ensure that activity reports are accurate and kept up to date with new clinics and services.
* Take the lead on hospital application related projects and ensure that PSD Mgt are kept informed of all developments; internally & externally that may impact on usage or functionality including managing people, timelines, resources, goals and outcomes.
* Provide training to PSD staff on new applications as part of project management.
* Represent the Patient Services department & iPMS functionality at Hospital working group or Committee level as required such as the MNCMS optimisation project.
* Ensure that the training provided includes patient confidentiality and GDPR
* Identify and assist with resolving any interface issues between MNCMS and iPMS
* Assist the iPMS system administrator and MNCMS back office team with testing phases of enhancements and new builds as required.
* Assist in identifying and training internal hospital applications super users, as required
* Ensure that new staff members have the correct access level to the hospital applications to suit their specific role, provide training as required.
* Identify, evaluate and document existing workflow processes involving hospital applications in conjunction with the Patient Services department management team.
* Consult with the Patient Services department management team and staff to identify areas where processes can be improved and provide training & documentation to assist to this end.
* Promote the hospital’s applications functionality within the Patient Services Department and provide daily support to staff as required.
* Assist in data quality checks and audit of iPMS & MNCMS usage with a view to continuously improving on the information available and end user knowledge of the system.
* Develop and maintain close working relationship with MNCMS back office staff.
* Problem identification, documentation, resolution or escalation to IT department or external support as required
* Audit and log errors and usage of the iPMS & MNCMS systems and identify any trends: provide regular reports on this end to the Patient Services Management Team.
* Liaise with the IT Department regarding implementation of new systems, specify Patient Services user requirements
* Identify issues regarding interface with other systems and report on resolution of issues
* Liaise with all internal departments to help facilitate the capture and extraction of all hospital data from various hospital systems
* Attend National meetings and workshops to ensure that knowledge base is up to date on internal and external reform programmes, when requested.
* Represent the Patient Services Department at iPMS/MNCMS meetings as required
* Participate in on-the-job training in order to improve knowledge and skill
* Deputise for the Deputy Patient Services Manager in his /her absence
* Undertake other duties as deem appropriate to this post by the Patient Services Management team
