The Administrative Support / Receptionist is responsible for providing a professional first point of contact for visitors, contractors, and customers while ensuring the smooth running of daily office operations. This role is based in our head office in Navan, co Meath and hours of work will be part-time, 5 days a week. Key duties include managing reception cover, coordinating meetings and catering, maintaining shared calendars, and handling travel and resource bookings across multiple sites. The role also involves supporting administrative functions such as preparing reports, reconciling company credit card transactions, assisting with sales quotes, and managing incoming and outgoing post. Key Tasks and Duties:
Reception Cover
* Greet and assist visitors, contractors, and customers in a professional manner.
* Manage customer collections, often requiring coordination with Customer Service when collection numbers are missing.
* Act as the first point of contact for incoming calls and emails, directing queries appropriately.
Meeting Coordination
* Schedule and set up meetings, ensuring rooms and resources are prepared.
* Arrange catering and order lunches as required.
* Provide logistical support for internal and external meetings.
Calendar Management
* Monitor and update shared calendars for meetings, events, and site activities.
* Ensure scheduling conflicts are minimised and priorities are communicated.
Bookings
* Handle internal and external bookings (travel, rooms, resources, etc.).
* Coordinate arrangements for visitors, including international guests (e.g., Brussels).
* Liaise with travel providers to ensure efficient and cost-effective arrangements.
Administrative Tasks
* Prepare and submit energy reports (with support from Purchasing).
* Manage company credit card transactions and reconciliation.
* Assist with sales quotes in absence of Sales Support.
* Handle incoming and outgoing post.
* Providing general administrative support across multiple departments.
