Hours: 39 hours per week

Bloomfield Hospital is a 131-bed in-patient mental health service, registered as an approved centre with the Mental Health Commission. Our ethos is rooted in honouring the dignity of everyone who enters our doors.
We provide a spectrum of neuropsychiatric services to adults with serious and enduring mental health needs such as Alzheimer's, Parkinson's, Huntington's Disease, early onset dementias, schizophrenia, and mood disorders. We are the only facility in Ireland offering specialised care for individuals with Huntington's disease.
Our care is recovery-oriented and evidence-based, aimed at helping patients achieve their highest level of functioning and quality of life. Care is delivered by a multidisciplinary team including Psychiatry, Psychology, Nursing, Pharmacy, Social Work, Occupational Therapy, Speech and Language, Dietetics, Physiotherapy, and General Practice.

Role Summary
The Clerical Officer will provide administrative support to all aspects of the Patient Administration Services function, helping to deliver a patient-focused service throughout the hospital.
Key Responsibilities
* Collation and maintenance of patient files
* Filing and documentation management
* Delivery and collection of files and paperwork to/from clinical teams
* Maintaining up-to-date records of file locations
* Monitoring and responding to emails
* Assisting with the Patient Register
* Coordinating offsite storage and retrieval of files
* Scanning and sending patient information to hospitals and doctors
* Printing patient labels as needed
* Keeping offices stocked and tidy
* Maintaining efficient general office procedures
* Liaising with internal departments and external agencies confidentially and professionally
* Providing cover within the Patient Administration team as required
* Maintaining strict confidentiality and attention to detail at all times
* Ensuring compliance with all hospital policies and procedures
* Assisting with file archiving and document preparation for Subject Access Requests/Freedom of Information
* Supporting data entry into quality management systems
* Providing admin support to the Electronic Patient Record Implementation Team
* Assisting in the transition from paper to electronic medical records
* Carrying out any other duties as assigned
Person Specification
Qualifications:
* Leaving Certificate standard or equivalent (required)
* Relevant third-level qualification (desirable)
Experience:
* At least two years' relevant administrative experience (required)
* Experience working under the Mental Health Act 2001 (desirable)
Knowledge and Skills:
* Strong administrative and organisational skills
* Experience in medical record management
* Good understanding of healthcare administration
* Proficient in Microsoft Office and Outlook
* Excellent communication and interpersonal skills
* Ability to interpret complex information accurately
* High attention to detail and confidentiality
* Ability to work independently and as part of a team
* Strong ICT skills including Word, Excel, and Outlook
* Familiarity with quality improvement and Mental Health Commission compliance (desirable)
