Dublin City Centre | Hybrid | Full-time Permanent
We are looking for a versatile, hands‑on Office Manager to lead our clients' operations for their team in Dublin. This is a true "all-rounder" role supporting a team of approximately 40 professionals. You will act as the operational anchor for the team, with the support of junior administrators to help manage the daily workload.
The role is based in a unique, traditional office space that requires a proactive and dedicated approach to facilities management and Health & Safety. You will be responsible for the full lifecycle of the office environment – from ensuring the building is safe and well‑maintained to managing vendor relationships and overseeing the department's administrative and financial workflows.
The Day‑to‑Day
Manage the upkeep and safety of our office premises, serving as the lead for facilities, maintenance contractors, and Health & Safety compliance.
Act as the central point of contact for the 40‑person team, senior management and external vendors.
Oversee the full procurement process, including ordering office supplies, managing vendor contracts, and processing departmental invoices.
Lead and mentor two junior administrators, delegating tasks to ensure the support function remains efficient.
Manage executive travel, complex scheduling, and the onboarding of new hires.
Maintain accurate financial expense records and ensure all disbursements are processed for approval.
Prepare reports and presentations for management while ensuring all corporate filings are up to date.
Coordinate internal events and ensure the office is always prepared for high‑profile client visits.
Ensure all activities align with the firm’s risk and regulatory policies.
What you’ll need
Minimum 3 years of experience in an Office Management role, ideally in a fast‑paced small to medium corporate environment.
Proven experience in facilities management and a solid understanding of Health & Safety standards as part of Office Management.
Previous experience leading or mentoring junior staff.
What will help you succeed
A practical, solutions‑oriented approach to building management and vendor relations.
Exceptional organisational skills and the ability to juggle competing priorities for a large team.
Strong interpersonal skills, with the confidence to communicate with stakeholders at all levels.
Proficiency in the usual suite of tools (Excel, Word, PowerPoint).
A proactive mindset—you’re someone who anticipates needs before they become issues.
The Setup
This is a hybrid position based in their Dublin City Centre office. You’ll have the flexibility to work from home part of the time, while being the face of the office when on‑site. They pride themselves on a professional yet inclusive culture and are looking for someone who brings that same energy to the team.
Remuneration
Salary will be dependant on experience – circa €50,000
Full benefits package including exceptionally attractive pension contribution.
