This role is open to applications in our Dublin and Dundalk offices.
Job Summary To provide excellent and efficient administration duties service ensuring that the internal teams receive the support and assistance they require.
As administrative Coordinator you will deal with all aspects of administration providing highly professional and helpful administrative service whilst ensuring that the administration of the Housing Leadership Team is kept to Tuath's high standards.
You will provide quality administration duties, provide support to the Housing Services Leadership, and handle enquiries and provide supports in a proficient, courteous and helpful manner in line with procedures.
The following list is typical of the level of duties which the post holder is expected to perform or be responsible for.
It is not necessarily exhaustive and other duties of a similar type and level may be expected from time to time.
The post holder will be responsible for a combination of the objectives described below and annual KPIs dependent upon the requirements of the organisation.
Key Responsibilities Administrative Support Manage calendar, scheduling, correspondence, and travel arrangements for the Housing Leadership team and other member of the SMT as required.
Prepare agendas, minutes, briefing notes, reports, and presentations.
Handle confidential correspondence, draft communications, and prioritise information flow.
Undertake additional tasks that may arise, in line with the needs of the Head of Service and Director, as well as the wider Leadership Team.
Functional Responsibilities Support key housing administrative functions within the remit of Housing and Communities, to include Housing Services, Income Commercial Services, and Customer Experience teams.
Collaborate with other teams or team members to complete timecritical tasks as requested.
Assist with data collection, KPI's, drafting reports, and preparing reporting materials.
Support quality assurance, audits, risk reviews, and adherence to operational policies.
Organisational Responsibilities Act as a central point of contact for internal teams and external stakeholders.
Maintain efficient and organised systems for documentation, governance records, and workflows.
Support organisational projects, change initiatives, workshops, and events.
Assist with budgeting, procurement, invoicing, and administrative planning.
Help streamline processes and support continuous improvement.
Be pro-active in the development and maintaining of strong networks and relationships with colleagues and in other organisations and agencies, to ensure excellence in service delivery.
Participate on forums/working groups/committees as required.
Health and Safety Responsibility To conduct all activities in a manner which is safe to yourself and others.
To be aware and to act in accordance with the Association's Health and Safety Policy.
Ensure that team members are aware of any risks associated with their role, adhere to any specific instructions, and use personal protective equipment where required.
Key Personal Attributes Minimum 5 year's administrative experience.
Organised, professional, composed, and adaptable.
Highly reliable with strong sense of responsibility.
Strong commitment and attention to detail.
Experience of working in teams at an operational level within a Housing Association, Approved Housing Body, or Local Government setting.
Experience of working as part of a team in environment.
Excellent administrative skills and ability to produce reports, presentations, and memos.
Ability to handle sensitive and confidential information.
Commitment to working in a customer-focused and solution-oriented manner.
Highly proficient in Microsoft Office 365, including Word, Excel, PowerPoint and Teams Knowledge and understanding of the requirements of Regulator of Social and wider legal / regulatory framework for housing Excellent communication, interpersonal and relationship-building skills.
Ability to be initiative-taking and work on own initiative and be part of a team Willingness to work outside normal office hours on occasions Full, clean driving licence and daily access to your own car.
