Job Role:
A highly organized and detail-oriented Administrative Support Specialist is required to provide administrative support and ensure the smooth operation of our daily activities.
Key Responsibilities:
* Provide general administrative support including filing, photocopying, scanning, and document preparation
* Manage incoming and outgoing correspondence
* Maintain accurate and up-to-date records, both electronic and paper-based
* Assist with data entry for grant applications, donor databases, or programme monitoring
* Schedule meetings, take minutes, and coordinate calendars for team members
* Support the preparation of reports, funding documentation, and internal communications
* Liaise with staff, volunteers, funders, and community partners as needed
* Maintain office supplies and handle procurement requests
* Ensure confidentiality and compliance with GDPR and organizational policies
* Coordinate and assist across all departments within the organization to ensure smooth delivery of service
Essential Requirements:
* A minimum of five years' experience in a clerical or administrative role, ideally in a not-for-profit or community-based setting
* Strong IT skills with a good working knowledge of IT packages appropriate to a modern office administration environment
* Willingness to participate in training and up-skilling as prescribed from time to time to meet current and emerging requirements of our funders
* Excellent organizational and time management skills with an ability to manage multiple tasks and meet deadlines
* Ability to work on own initiative and collaboratively with colleagues and other staff
* Good written and verbal communication skills with a key focus on attention to detail
* Adaptability: Support change and innovation initiatives within the organisation
* Professional Conduct: Represent the organisation in a positive manner
* Full clean driving licence and use of a vehicle
