Job Description:
We are seeking a highly organized and detail-oriented Contract Management Specialist to manage various aspects of our contract administration process.
* Manage purchase orders, requisitions, delivery dockets, and input data into the ERP/IFS system to ensure accuracy and compliance.
* Handle returns for plant and labour, coordinate documentation, and assist with HSQE administration to maintain compliance with company management systems.
* Coordinate communication with internal teams and clients, and assist the Commercial Team with documentation submissions and reporting.
* Act as a super user for the IFS system, supporting data entry, reporting, and accuracy checks to ensure completeness and correctness.
* Verify all data before submission, and ensure purchase orders and documentation for suppliers/subcontractors are in place weekly.
* Maintain and report staff accommodation lists weekly to Finance, and assist in reporting requirements according to the commercial calendar.
* Check delivery schedules, upload GRNs, verify dockets against POs, and handle damages/credit notes with suppliers.
* Liaise with procurement to ensure sufficient quantities are ordered, and maintain daily recording of muckaway dockets in HSQE environmental folders.
* Assist with gathering documentation to set up new suppliers and subcontractors, and record and circulate allocations and daily site records.
* Act as liaison between site, Accounts Payable, and Plant departments for invoices, hire queries, and portal inputs.
* Coordinate site inductions, absence reporting, and HR documentation.
* Proficiency in Microsoft Office (Excel, Word, PowerPoint), including VLOOKUPs and pivot tables.
Qualifications & Experience:
* Minimum Leaving Certificate or equivalent qualification in business or related subjects is advantageous.
* Previous experience in a construction site office, contract administration, or office management role.
* Excellent written and spoken English, strong interpersonal skills, and ability to liaise with site teams, office colleagues, and clients.
* Full clean Irish/EU driver's license; site-based role with travel between sites required.
