The Global Economic Summit ) is a high-level thought leadership forum that takes place annually in Killarney, Ireland.
We exist to convene global decision-makers from business, government and civil society in a trusted space to exchange ideas, spark collaboration and drive systemic change for business and society.
The Delegate Experience Manager is responsible for delivering a seamless, premium experience for all guests, speakers, partners and VIPs attending the Global Economic Summit (GES). This role ensures every touchpoint reflects the quality, hospitality and professionalism for which GES is recognised. The successful candidate will oversee guest acquisition, communications, accommodation, venue management, digital experience and on site guest flow, working closely with the production, partnerships, content and operations teams.
This is a highly collaborative position that requires exceptional organisation, communication and stakeholder management skills.
This is a part-time contract and will be on a fractional basis.
Responsibilities
1. Delegate Engagement
* Lead guest and delegate acquisition, including invitations, follow ups and registration.
* Manage all guest communications across email, social channels and the GES website.
* Liaise with speakers, VIPs, partners and delegations to confirm attendance details.
* Oversee guest list accuracy, updates and enquiries throughout the event cycle.
* Support partner teams with guest allocations and related communications.
2. Delegate Experience
* Serve as the venue lead for rooming lists, hotel coordination and contract delivery.
* Manage speaker and VIP accommodation, upgrades, room drops and gifting
* Manage the GES event app, digital schedules and stakeholder itinerary adaptations.
* Oversee seating plans for the Gala and VIP sessions
* Deliver the full on site guest experience including welcome letters, signage, room drops and digital updates.
* Oversee the event management team to ensure a seamless and productive experience for delegates
Qualifications
* Excellent verbal and written communication skills with ability to build relationships with C-Suites and executive-level decision makers
* Experience in a B2B delegate acquisition/management position ideally for a high-level conference or event
* Excellent organisational skills and proficiency with digital tools including event apps, websites and social platforms.
* Experience managing senior stakeholders, ideally gained within B2B publishing, events, conferences or exhibitions
