The Harlem YMCA is seeking an Administrative Assistant for their New Americans Initiative program. The Administrative Assistant will be responsible for administrative and general office functions to support the quality and functionality of the program.


Key Responsibilities:


Administrative Responsibilities:

* Ensure the functionality of the NAI office by maintaining effective filing and administrative systems, managing office inventory and purchases, overseeing participant use of laptops, and conducting daily inventory checks.
* Prepare internal and external reports and update documents as necessary.
* Maintain up-to-date program flyers, marketing materials, class schedules, and the New Americans Initiative website.
* Maintain internal case files, including intake, goals and outcomes, pre-testing and post-testing, attendance records, case notes, and ensure supporting documentation is scanned and uploaded into the appropriate data portals.
* Support data input into all data systems, including ASISTS, DYCD Connect, AS400, and Salesforce, and use databases to prepare program reports for internal, city, and state use.
* Communicate with participants, including providing program information, scheduling appointments, and drafting correspondence.
* Assist with recruitment and support of volunteers.
* Assist with reporting to government and private funders, tracking and reporting student data and achievement results.


Additional Responsibilities:

* Model best practices in hospitality and foster a positive culture.
* Support all aspects of programming, including community outreach, recruitment, and participant engagement.
* Work enthusiastically as part of a team.
* Participate in trainings, meetings, and events.


Desired Skills & Experience:

* High School Diploma/GED required; Bachelor’s degree preferred.
* Minimum two (2) years of administrative experience.
* Knowledge of adult literacy, civic education, immigration legal services, and case management is preferred.
* Proficiency in Microsoft Office, especially Excel, and familiarity with Windows applications and databases.
* Ability to work as part of a team and establish positive relationships with participants and community partners.
* Self-starter, highly organized, patient, and able to work well with others.
* Interest in working with diverse populations.
