Working closely with hotel departments and our external procurement management company, you will ensure efficient, compliant, and cost-effective purchasing while managing our procurement system,Procure Wizard.About The RoleKey ResponsibilitiesUse Access Procure Wizard to manage daily, weekly, and monthly purchasing activity, including generating purchase orders and matching them to invoicesMaintain supplier price files, product mappings, catalog imports, and user accounts within the systemCoordinate purchasing requests from F&B, housekeeping, maintenance, and other hotel departmentsMonitor stock levels, conduct stock takes, and investigate discrepanciesTrack orders, deliveries, and resolve shortages or quality issuesEnsure all deliveries are recorded, matched to invoices, and approved to reduce manual paperworkGenerate reports on supplier spend, price fluctuations, and gross profit (GP) performanceEnsure compliance with preferred supplier lists and internal procurement policiesIdentify and resolve system errors, provide user support, and train team members on best practicesRequirementsPrevious experience in hotel purchasing, stock control, or hospitality operations (F&B, bar, or similar)Strong IT skills; experience with Access Procure Wizard highly preferredAdvanced Excel skills (VLOOKUPs, pivot tables, formulas)Strong analytical, numerical, and problem-solving abilitiesExcellent organizational and communication skillsAbility to work with suppliers, finance teams, and operational departmentsSkills NeededTechnicalAbout The CompanyThe Gallen Hospitality group is comprised of three 4-star, family-run hotels located in Ballybofey and Gweedore, Co Donegal.Owned by the Gallen family, the Villa Rose Hotel was established in the year 2000 and is comprised of 57 bedrooms, state of the art spa facility and has been consistently named Ireland's top hotels in the Tripadvisor Traveller's choice awards.In 2016, the Gallen family added Jackson's Hotel to their offering.
