Role Description
A part-time position as an Administrator has become available to provide support to the Judicial Vicar and assist with other relevant duties within NMATI. The role is based at St Patrick's College, Maynooth, Co. Kildare. As the Part-Time Administrator, you will handle case work and judicial procedures, as well as administrative and operations responsibilities, compliance and safeguarding. The position is on-site, and the weekly working hours will be 16 hours, Monday to Thursday, from 10 AM to 2 PM. This is a fixed-term contract with a duration of 3 years.
Key Responsibilities include:
Support for the Judicial Vicar
* Assist the Judicial Vicar in the general coordination and direction of all Marriage Tribunal functions and in carrying out his duties.
* Assist the Judicial Vicar in preparing the Tribunal budget and preparing annual accounts for submission to the Irish Episcopal Conference, and in the preparation of annual reports.
General Administration
· Oversee annulment application processes in the Catholic Church.
· Prepare and maintain case files and support judicial procedures for Marriage and Nullity Cases.
· Respond to inquiries about cases until resolved.
· Interview Petitioners and Respondents for sworn testimony.
· Distribute case documents to Tribunal officials for discussion.
· Prepare files for removing vetita.
· Sign and authenticate documents as Tribunal Notary.
Office Administration & Operations
· Manage office operations, including supplies and equipment.
· Ensure the efficient running of NMATI.
· Schedule appointments and meetings for Tribunal Officials.
· Conduct typing tasks, prepare letters, and transcribe interviews with accuracy.
· Organize and manage NMATI's archives, ensuring compliance with GDPR and Safeguarding policies.
· Maintain basic bookkeeping records for the Archdiocese of Dublin's Finance Office.
Key Qualifications and Skills:
· NFQ level 6 qualification or 5 years' experience in a busy office (essential).
· Understanding of Catholic Church procedures for Marriage and Nullity cases, with respect for the Church's ethos.
· Strong secretarial and organisational skills; efficient management of files, schedules, and office operations (essential).
· Basic budgeting and bookkeeping knowledge, with experience in financial accounting programs.
· Ability to prepare and handle official documents accurately.
· Awareness of safeguarding and data protection compliance.
· Proficiency in Microsoft Office Suite and ability to learn case management systems (essential).
· Excellent written and verbal communication; skill in drafting correspondence and managing sensitive interactions.
· Experience in conducting interviews and handling case-related queries professionally.
