Role Overview

The Assistant Project Manager supports the planning, coordination, and execution of projects to ensure they are delivered on time, within scope, and aligned with organizational goals. Working closely with project managers and cross-functional teams, this role handles daily project tasks, documentation, communication, and progress tracking. It is well-suited for individuals who are organized, proactive, and interested in developing strong project management skills.

Key Responsibilities


• Assist in developing project plans, schedules, and task lists, ensuring all team members understand their responsibilities.


• Track project progress, update status reports, and help identify potential delays or risks.


• Support communication between stakeholders, team members, and external partners.


• Organize project documentation, including meeting notes, timelines, requirements, and approvals.


• Coordinate project meetings by preparing agendas, documenting discussions, and following up on action items.


• Help monitor project budgets and resource allocation under the direction of senior project staff.


• Assist with quality checks to ensure that deliverables meet requirements and organizational standards.


• Maintain project management tools by updating tasks, milestones, and documentation.


• Support issue resolution by gathering information, coordinating with relevant teams, and tracking outcomes.


• Contribute to project improvement initiatives by identifying workflow inefficiencies and suggesting solutions.

Qualifications and Requirements


• Strong organizational and multitasking abilities, with the capacity to manage competing priorities.


• Clear communication skills for interacting with team members, stakeholders, and clients.


• Basic understanding of project management concepts, timelines, and workflows.


• Proficiency with common office software and familiarity with project management tools is an advantage.


• Detail-oriented mindset for maintaining accurate records and documentation.


• Problem-solving abilities and willingness to assist with resolving project challenges.


• Ability to work both independently and as part of a team.


• Adaptability to shifting project requirements and evolving priorities.


• Positive attitude, eagerness to learn, and strong sense of responsibility.


• Prior exposure to project coordination, administrative roles, or academic project experience is helpful but not required.
