This position offers the chance to work alongside senior leadership while contributing to the success of critical learning initiatives.Key ResponsibilitiesProgram & Administrative SupportOversee and optimise inventory systems for classroom resources, materials, and branded merchandise to ensure smooth operations.Collaborate with colleagues to streamline processes, share best practices, and drive continuous improvement.Maintain accurate records, analyse operational data, and communicate insights to stakeholders.Manage assigned projects independently, adapting quickly to new tasks, processes, and priorities.Support evolving team requirements as needed.Work flexible hours, including occasional evenings or weekends, based on program requirements.Customer ExperienceDeliver exceptional, concierge-style service at registration desks and throughout events.Build and maintain strong relationships with stakeholders and external partners, anticipating and addressing customer needs.Act as a subject matter expert on management systems, providing solutions to complex inquiries.Send communications, manage correspondence, and provide guidance on facilities and campus resources.Training Session SupportServe as the central liaison between participants, facilitators, and support teams during training sessions.Coordinate all event logistics, including room setup, branding, catering, and attendee registration.Take attendance, manage registration lists, and ensure sessions run smoothly.Travel domestically to support multi-day programs as needed.Qualifications & ExperienceRequired:High School Diploma or GED (Associate or Bachelor's degree preferred).5+ years' experience in a high-volume, customer-facing role.Demonstrated success providing premium customer service to executive-level clients.Experience in stakeholder management and cross-functional collaboration.Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Smartsheet, and SharePoint.Outstanding verbal and written communication skills, with an eye for detail.Preferred:Background in project management, event coordination, or similar fields.Experience managing shared inboxes and working with tools such as Chime, Slack, and WorkDocs.Skills & AttributesStrong organisational skills with the ability to manage multiple high-profile projects simultaneously.Exceptional customer focus and ability to communicate effectively across all levels.Analytical mindset, able to interpret and share insights from data.Calm and solutions-oriented under pressure, with a proactive, "can-do" attitude.Comfortable working independently or as part of a team in a hybrid, ever-evolving environment.Commitment to fostering an inclusive and diverse workplace.This is an on-site role in Dublin (with international travel), paying up to €90,000 per annum depending on experience.
