We are looking for a passionate and energetic individual with a guest-centric mindset to join our team as Guest Experience Coordinator.
Here at Adare Manor, we strive to 'create and deliver Beyond Everything experiences' and the Guest Experience Coordinator will act as the central point of contact for all VIP guest communications and support the Guest Experience team in overseeing the Guest Relations Call Centre (Switchboard) ensuring that each of our VIG (Very Important Guests) receives a truly exceptional experience whilst at Adare Manor.
As Guest Experience Coordinator, You Will
* Prior to arrival, you will assist guests with planning their itinerary, ensuring all preferences are accurately noted and shared with the relevant teams. You will gather as much information as possible on all incoming guests to create bespoke experiences via our Butler Team.
* Answering communications relating to incoming VIG guests via phone & email. Be responsible for ensuring all pre-calling aspects for the guests are complete.
* Compiling of weekly reports for the department and curation of a weekly VIG Guest Pack for the wider Resort.
* During the guest's stay, the Guest Experience Coordinator will give support to the Guest Experience Executives & Butlers in delivering a bespoke service to each of our guests by ensuring any guest's requests are noted and then actioned accordingly by the operations team.
* Provide administrative support for special Resort events such as Christmas, Easter, Valentine's Day, and other seasonal occasions.
* Liaise daily with Butlers and Guest Experience Executives to ensure seamless coordination of guest preferences and itineraries.
* Ensure all information regarding activities, brochures, special events and local tourism information is up to date and correctly communicated with the wider team.
* Coordinate internal communications related to VIP arrivals and ensure guest queries and updates are accurately distributed across departments.
* Provide administrative support to the Director of Guest Experience and the management team, and complete any tasks assigned in a prompt manner.
* Upon departure, you will keep an up-to-date archive of documents and preferences to enhance the guest's future visits.
* Our Guest Experience Coordinator must have a genuine warmth and the ability to build lasting relationships with our guest's ensuring they have a seamless experience. This role is entrusted with coordinating all VIP guest communications and updates by liaising with every department across the Resort. They will have the ability to inspire their team & other colleagues across the Resort to enhance the service we deliver.
Experience in a luxury hospitality environment or high-end guest services is essential. This is an office-based role and does not require a driver's licence.
You will report to the Guest Experience Manager & the Director of Guest Experience and work closely with the wider Guest Relations and Rooms Division team. This role will be primarily office-based, working 5 days over 7 with some flexibility around VIP guest arrivals and departures. The above responsibilities are not exhaustive, and any individual may be required to execute any additional responsibilities as directed by leadership.
