Overview of role:
As a Purchasing and Warehouse Manager at UPMC Whitfield Hospital, you will be responsible for overseeing the efficient functioning of purchasing and warehouse operations. Your role will include managing a team of ~5 distributed across the main warehouse, hospital & satellite locations. This person will be responsible for the procurement of clinical & related consumables, while managing warehouse operations to ensure efficient inventory management and supply chain processes.
Primary Duties and Responsibilities:
Key Responsibilities:
* Develop and implement procurement strategies to optimize costs and ensure timely availability & delivery of goods.
* Oversee inventory management, maintaining optimal stock levels to meet operational demands.
* Coordinate with vendors to negotiate contracts, terms, and conditions for the procurement of goods and services.
* Ensure compliance with relevant regulations and internal policies governing purchasing and warehouse activities.
* Lead, mentor, and manage a team of ~5 individuals, fostering a collaborative and results-driven work environment.
* Implement and maintain effective systems for tracking, reporting, and analysing key performance metrics.
* Collaborate with cross-functional teams to align purchasing and warehouse activities with overall organizational goals.
* Develop and implement continuous improvement initiatives to enhance operational efficiency.
Enhanced Responsibilities:
The key enhanced responsibilities of the Purchasing Manager
and Warehouse Manager will be:
* Technology Integration: Ongoing drive to leverage inventory management systems to enhance efficiency and accuracy in tracking goods & insuring efficient spend in the hospital.
* Collaboration with colleagues across UPMC Ireland: Work closely with other departments, such as procurement, finance, and clinical teams as well as supply chain teams in other UPMC Ireland hospitals, to ensure seamless coordination and communication across the organization.
* Continuous Improvement: Drive continuous improvement initiatives in purchasing and warehouse processes to enhance overall effectiveness and responsiveness.
* Strategic Procurement: Work closely with the Procurement Manger to develop and implement procurement strategies to optimize costs, supplier relationships, and quality across all sites.
* Supplier Management: Report to and work with the Procurement Manager to identify, evaluate, and manage relationships with suppliers to ensure timely and cost-effective procurement of goods.
Qualifications & Experience:
Qualifications.
Bachelor's degree in Business, Procurement, Logistics,
Supply Chain Management, or a related discipline (QQI level 8) is highly
advantageous but not essential if you can demonstrate suitable experience.
Experience:
To be successful in this role it's expected that you'll be
able to demonstrate the majority of the following skills and experience:
* An experienced people manager, capable of building strong and influential relationships with internal stakeholders and external suppliers.
* Experience in a similar procurement role within a healthcare organization would be very advantageous, with related pharmaceutical /retail /FMCG experience also considered.
* Demonstrable team building skills, including team design, team tasking, function KPI construction, coaching/mentoring and succession planning
* Strong management skills and the ability to initiate and lead supplier improvement/optimisation projects on a cross-functional basis.
* Ability to develop and grow a team of procurement professionals to meet current and future needs of a progressive manufacturing business
* Broad knowledge of procurement methods, tools, processes and reports
* Experienced in system utilization to enable key operational decision to be made transparently and effectively
* Strong financial and cost analysis skills
* Proven experience of working with Supply Chain module of SAP or similar large scale ERP
* Previous experience of preparing procurement policy and procedures and running an effective procurement office.

* Strong writing and project management skills.
* Proficient Microsoft Office Suite (especially Excel)
* Ability to work across all departments to assist individuals and teams in creating and running procurement processes in line with policy in a cooperative and supportive manner.
