Full job description Role Introduction: The AA is embarking on an exciting growth and transformation phase and is seeking to recruit a Car Hire Specialist on a fixed-term contract to support it's Rescue Contact Centre team in providing a best in class service to AA Members, Customers and business partners. Reporting into the Quality & Administration Manager, the Car Hire Specialist will be responsible for ensuring that the car hire service is executed efficiently and meets the AA's standards. This role involves managing car hire requests, coordinating with business partners, maintaining accurate records and ensuring proper billing. The Car Hire Specialist will act as the primary liaison between internal teams (Rescue/Finance/B2B) and external vendors, ensuring smooth operations and the resolution of any issues. The successful candidate will be a highly driven, adaptable and confident people person who can thrive in a rapidly changing organisation and will adopt a hands-on approach to their role and who also has longer term potential for broader responsibilities and contribution to the company over time. Work location: Whilst this role is eligible for the AA's Hybrid Working Policy, the successful candidate will need to be able to flex between our Harcourt Street office and the Rescue Operations Centre (ROC) based in Ballymount when required. Key Responsibilities: As the AA business continues to evolve, so too will the responsibilities of this role evolve and change over time. The primary responsibilities and focus areas for this role will include the following: Car Hire Operations: Assist in processing car hire requests and coordinating vehicle bookings. Communicate with B2B clients to confirm details, including delivery times, vehicle types and terms. Act as the primary point of contact for Rescue Centre Agents, addressing queries and facilitating the car hire process. Address issues related to rental vehicles, such as delays, booking changes, or special requests. Vendor and Business Partner Liaison: Collaborate with relevant business partners to ensure the appropriate use of car hire services for each client. Training and Development: Provide continuous refresher training to Rescue Centre Agents on car hire procedures to avoid repeat errors. Record-Keeping and Reporting: Maintain accurate records of all car hire bookings and related data for planning and auditing purposes. Assist in preparing and updating reports on car hire metrics, including availability, bookings, customer satisfaction, and operational performance. Financial Accountability: Ensure that all car hire charges are billed correctly to the appropriate group account by reviewing group codes against car hire jobs. Assist in processing payments and reconciling any discrepancies related to car hire transactions. Use reports to track and close open car hire cases that should no longer be active, ensuring vehicles are off-hired appropriately. Collaboration with Internal Teams: Work closely with the B2B and finance teams to ensure adherence to established processes. Ensure clear communication and smooth coordination between teams. The Candidate should have the following: Minimum qualifications, experience & skills: Degree level qualification. At least 3/4 years customer service/administration experience working in a high-volume contact centre. Previous experience in a breakdown assistance and/or motor services industry preferable. Excellent customer service skills and passion for delivering exceptional service to our customers and business partners. Experience in establishing priorities, scheduling and meeting deadlines combined with strong organisational skills and with an ability to prioritise an often conflicting workload. Excellent communication and administration skills. Excellent problem-solving abilities to quickly and efficiently address customer issues and team challenges. The ability to analyze data and customer feedback to identify trends and areas for improvement. Ability to take ownership and responsibility for end-to-end service delivery. Positive attitude to change and open to learn. Excellent proficiency in all Microsoft Office software also essential (Excel, PPT). A highly organised individual with ability to plan and prioritise workloads effectively for maximum impact and adapt around changing priorities as required. Excellent drive, enthusiasm and commitment and a keen interest in developing their career. Exceptional interpersonal, communication and teamwork skills, and ability to influence and develop relationships with individuals at all levels of the organisation. Is resilient and can cope with high pressure work environment. Individual with strong people skills who will be a role model for the AA's core values and behaviours.
