Welcoming clients and visitors upon arrival at reception.Collecting post in the morning from the Post Office, opening, date stamping, and distributing.Answering, screening, and forwarding phone calls in a professional and timely manner, ensuring clients receive responses if numerous messages are left, and using discretion to escalate if calls are not attended to.Scheduling and confirming appointments.Processing card payments or cash and issuing receipts in the receipt book.Posting phone logs on Keyhouse for each call that comes in and updating the customer dashboard.Processing invoices for the office and sending out supplier remittances.Observing business etiquette and maintaining a professional appearance.Directing the flow of mail, faxes, and deliveries to reach all Solicitors.Ordering and replenishing office supplies.Managing the maintenance and repair of office equipment.Preparing meeting facilities and arranging refreshments if required.Assisting with client queries, wills, or titled deed inquiries and redirecting to solicitors or support staff.Preparing evening post to go out with DX post and registered post.CPD: emailing solicitors' courses, booking when interested, and arranging payment with the Accounts Manager if needed.
