QQI Student Liaison & Training Programme Administrator
Responsible for the administration of the QQI equestrian and horticultural programmes and providing positive support to students on their learning journey
Based at: The primary base for the position will be in our HQ at Old Connaught Avenue, Bray, Co Wicklow. As part of our strategic growth, we are relocating to Belfield House, Kilpedder, Co. Wicklow within a timeframe of 2 to 4 years. This role will immediately operate across both locations in preparation for and in support of this move.
Contract Type: Part-time Permanent, 19.5hr week (Monday to Friday, working pattern negotiable)
Position Goals: The QQI Student Liaison & Training Programme Administrator will support the effective delivery, administration, and quality assurance of QQI-accredited training programmes
Key Duties and Responsibilities
Administration Management
1. Manage student applications and admission process including all pre application enquiries
2. Liaise with the accounts department re: student invoicing and payments
3. Enrol students onto the Moodle (LMS) Learning Management system portal and provide them with technical guidance as required
4. Manage Moodle course content which includes but is not limited to module tutor content, assignment/project briefs and results processing
5. Process student final results via the QQI (Quality Qualifications Ireland) QBS certification portal
6. Issue students with their QQI certificate as well as Festina Lente programme certificate.
7. Manage the volunteer database, source new volunteers and manage the volunteer timetable per module where practical sessions are used.
Programme Quality Assurance Management
8. Manage the PEL (protection of enrolled learners) insurance
9. Maintain programme and student master files and amend course content documents when needed
10. Prepare the required information in support of the Academic Committee meetings
11. Ensure that the programmes are run in accordance with our validation criteria and Festina Lentes Quality Assurance Manual
Student Liaison, Support and Learning Experience
12. Act as first point of contact for current and past students
13. Provide clear information and guidance to students throughout their learning journey
14. Support students with additional needs in line with Festina Lente and QQI's inclusion and equality policies
15. Manage student communications (Moodle Messages, phone, in-person) in a professional and supportive manner
16. Ensure that the learning facility and learning equipment are prepared in advance of each programme module
Stakeholder Engagement (internal and external)
17. Building and maintaining excellent working relationships with colleagues, students, course facilitators
18. Liaising with volunteers as required for practical elements per modules
19. Liaising with the external assignment /assessment markers.
20. Liaising with the external QQI authenticators as part of the final assessment processes
21. Participate in QQI revalidation and new course application process
Tutor & Guest Speaker Support
22. Liaise with tutors regarding student attendance, assignments/ assessments, and programme delivery
23. Support tutors with administrative and documentation requirements
24. Coordinate communication between students, tutors, guest speakers to ensure smooth programme management
Programme Marketing
25. To support the development of marketing ideas and promoting programmes based on programme feedback,
26. Liaising with the Social Media coordinator re: Programme promotion
Seminar and Event Management
27. To support the QQI Programme Manager with organising seminars and education events related to the Equestrian and Social Therapeutic horticulture programmes
Training and Development
28. Attending all designated training workshops as it pertains to skills development
29. Active participation in team and staff meetings
Health & Safety
30. Complying with the Health & Safety requirements of the organisation and current legislation.
Other Duties
To undertake any other reasonable duties which may be assigned by the QQI Programme/Operations Manager
