We are recruiting for an an independent financial planning firm dedicated to providing personalized financial advice and planning services to our clients. Our client are looking for a proactive and detail-oriented Client Services Executive to join the team and support the delivery of their comprehensive financial planning services.
This role will play a vital role in supporting and driving the daily operations of the firm. This involves assisting financial planner in preparing client documentation, managing client records, handling administrative tasks, and ensuring the smooth running of the office. The role also involves driving certain projects with support of colleagues. Key traits are excellent organisational skills, a keen eye for detail, energy, drive, client-focus, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
1. Organisation:
2. Provide report-writing and administrative support to Financial Planners/Office Manager.
3. Prepare and process client documentation and correspondence
4. Liaise with Pension and Investment Companies & Platforms relating to the set up & of new pensions & investments (we use non-commission schemes and funds).
5. Manage and maintain client e-files, ensuring all records are accurate and up-to-date.
6. Handle incoming calls and emails, responding to client inquiries and directing them to the appropriate person.
7. Respond to internal emails/notices promptly
8. Client Relationship Management:
9. Ensure that clients receive a high level of service and that their needs are met promptly and professionally, and proactively.
10. Assist in preparing client reports, financial summaries and follow-up for client meetings, and on-going service responses
11. Compliance and Record-Keeping:
12. Ensure that all client files are maintained in compliance with regulatory standards.
13. Assist in the preparation of documentation required for regulatory compliance and audits.
14. Maintain knowledge of financial products, services, and regulatory requirements relevant to the firm.
15. Data Management and CRM:
16. Input and maintain client data in the firm's CRM system, ensuring data accuracy and completeness.
17. Perform regular data audits and upkeep of client folders.
18. Update and maintain CRM systems with the latest client information and interactions.
19. Pipeline Management and Liaison:
20. Liaise with the Planning Manager and CEO on pipelines and prospective client needs.
21. Prepare, submit, and track new client applications and follow up on any outstanding documents.
22. Coordinate with team to ensure excellent servicing of existing clients.
23. Office Coordination and Event Management:
24. Assist with general virtual office duties, including managing office supplies, filing, and organizing
25. Schedule internal meetings and ensure all logistical arrangements are in place.
26. Coordinate with external service providers, such as IT support and office suppliers.
Key Skills and Qualifications:
* Education: Leaving Certificate or equivalent; further qualifications in administration, business, finance, or a related field are advantageous.
QFA desired.
* Experience: At least 2 years of experience in an administrative role, preferably within a financial planning, wealth management, or financial services environment.
