In this role, you will play a key part in ensuring the smooth operation of our facilities by managing daily activities, coordinating maintenance tasks, and supporting health and safety compliance. Your role will include the following:Report on outstanding Work Order and PPMs, following up with sub-contractors on the status of worksPrepare client quotes for reactive and follow-up worksAssist in scheduling PPMs and reactive worksReview contractor documents and ensure all documents are up to dateAuthorize and manage Permit to Work systemsCompile RAMs as requiredAssist management with supplier invoicingSource and request PO's for works in a timely mannerDraft Supplier Level Agreements for approval by the Facilities ManagerCoordinate Subcontractor maintenance visits with Supplier and Client requirementsOversee the employee schedule for support coverFinancial reportingCompile service reports, upload to the CAFM system and issue to customersAssist management with the mobilisation of new contractsRequirementsExperience working in a professional team-based office environmentExperience communicating with Clients/Customers and providing excellent customer servicePossess basic technical knowledge of plumbing and electrical equipment is advantageousHigh level of computer literacy including an excellent working knowledge of MS Office software (Word, Excel, Powerpoint and Outlook)Experience working with CMMS and CAFM softwareExperience working in a similar role within Facilities Management is preferredStrong administrative and coordination skillsStrong attention to detailHighly numerate and analytical skillsFacilities Administration: 2 years (preferred)
