Part-Time Advocacy and General Administrator

This role supports EPIC's advocacy and operations teams through administrative and database system support.

Advocacy and General Administrator (Part time job share – fixed term)

Closing date for applications: 5pm, 31 July 2025

Location: Dublin

Reporting to: Chief Operations Officer

Job Purpose

1. Administration and database system support for EPIC's advocacy and operations teams.
2. Provide comprehensive operational and administrative support to the advocacy team.
3. Support the functionality, administration and management of the organisation's database systems and associated reporting requirements.
4. Be a strong member of the operations team, providing back office support.

Key Responsibilities

5. Manage the weekly referral process of advocacy cases; including pre-checking that information submitted is completed appropriately, preparation of reports for the weekly meeting, inputting of data to the database system and allocation of referrals to the relevant team members
6. Coordinate information, referrals and disseminate to the advocacy team and advocacy managers in a timely and efficient manner
7. Be a strong member of the back-office team providing general office administrative support including phone management, maintenance of the office calendar, management of the building maintenance, liaising with visitors, service users, and suppliers.
8. Provide administrative support to the information and reporting requirements of the advocacy team.
9. Respond in an efficient, friendly and appropriate manner to all communications within the office (incoming and outgoing correspondence, emails, telephone calls and in person).
10. Liaise with the advocacy managers and regional advocacy team to prepare documentation for meetings and reports. Coordinate meetings and produce minutes.
11. Conduct periodic data cleansing, data mining and analysis exercises and disseminate the results to the advocacy managers.
12. Gather information, statistics and prepare reports as required, including administration of databases as appropriate to the role.
13. Ensure the confidentiality of all information in relation to the children and young people who use the service.
14. Work collaboratively with other administration team members providing cover and support as required.
15. Any other duties within the general requirements of the above specification as may be required.

Additional Responsibilities

16. Participate actively in team, planning, events and staff meetings as required to function effectively within the organisation.
17. Participate in regular supervision with your line manager.
18. Be vigilant to any health and safety risks, and data protection risks in the workplace and bring any concerns to designated officers and/or your line-manager.

Collaboration and Handover

Work closely with your job share partner to ensure seamless handovers and continuity of work.

Desirable Skills and Experience

19. Experience of working in an administrative and/or data management role for more than 3 years.
20. Knowledge of and experience with Salesforce or similar CRM system.
21. Experience working with non-profit organisation working with a vulnerable cohort (ideally this person will have the skills to manage difficult calls/ situations with children, young people and people associated with them).
22. Excellent IT literacy and administrative skills.
23. Excellent written and oral communications skills.
24. Excellent organisational skills and attention to detail.
25. Ability to prioritise and multi-task under pressure.
26. Professional and courteous manner.
27. Strong team player.
28. Ability to work on own initiative and contribute to relevant teams and committee work.

Terms and Conditions

33. This is a part-time post (20 hours per week) for a fixed term of 12 months.
34. There is a six-month probation period.
35. Annual leave entitlement of 25 days per annum pro rata
36. In addition to annual leave, the office is closed for one day at Easter and three days at Christmas.
37. This role will be flexible in line with EPIC's current hybrid working model – requiring office-based work and some remote work – within the working hours of the organisation.
38. Participation in the company pension scheme is matched by a 5% Employer contribution, commencing on completion of the probationary period.
39. The post holder will undertake training on Children First (Tusla e-learning programme) and abide at all times by this and by EPIC's policies on child protection and welfare.
40. All roles within EPIC are subject to Garda Vetting.

Salary: commences at € 20,000 depending on hours agreed (full time equivalent €35,000)
