Our client is a global automotive company headquartered in Singapore with operations in Australia, Ireland, Japan, and Singapore. They are specializing in the importation of high-quality used vehicles from Japan.ResponsabilitiesDirectly reporting to the CEO, your main responsabilites are :• Serve as the primary point of contact for communication between CEO and management team, fostering cross-departmental collaboration and ensuring clear, consistent messaging across the organization.• Oversee day-to-day office operations to ensure a well-organized, efficient, and professional working environment.• Support the team by managing calendars, coordinating meetings with CEO, and handling confidential correspondence with discretion and professionalism.• Prepare meeting agendas, take detailed minutes, and track action items to ensure timely follow-up and execution.• Draft, format, and distribute internal communications and company announcements, working closely with senior leadership and department heads.• Represent the CEO in meetings as required, documenting discussions and summarizing key takeaways and action points.• Act as a HR function to support recruitment, onboarding, employee engagement initiatives, and maintaining up-to-date HR records.• Liaise with the finance department to support payroll preparation by ensuring accurate and timely submission of employee timesheets, leave records, and any relevant updates.Requirements•Fluent in English and Mandarin,both spoken and written, with excellent communication skills in both languages.• Ability to translate complex documents and communications between English and Mandarin.• Minimum 7 years of experience in a similar role or executive support role, preferably supporting C-level executives.• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office management tools.• Excellent organizational and multitasking abilities to manage complex schedules and competing priorities effectively.• High attention to detail and ability to manage confidential information with discretion.• Outgoing personality with excellent interpersonal and networking skills to build strong relationships with internal and external stakeholders.• Strong time management skills with the ability to work under pressure and meet deadlines in a fast-paced environment.
