Job Purpose: The purpose of the Accounting & Administrative Specialist is to efficiently manage the financial records, accounting procedures, and administrative functions.
This role ensures accurate financial reporting, supports budgeting and expense management, and maintains organized administrative operations to promote smooth business processes and compliance.
Key Responsibilities:
Responsibilities associated with this role include, but are not limited to:
· Maintain accurate financial records and ledgers in line with accounting standards
· Process supplier invoices, purchase orders, and staff expense claims
· Reconcile bank statements and credit card accounts
· Prepare monthly management accounts and assist with year-end reporting and audits
· Coordinate with external accountants and advisors as required
· Support payroll preparation and maintain employee records
· Manage VAT returns and ensure compliance with Irish Revenue requirements
· Prepare, file, and reconcile periodic VAT submissions and payments
· Maintain supporting documentation for all VAT transactions
· Keep up-to-date with changes in VAT legislation relevant to agricultural businesses
· Answer phone calls, manage emails, and handle correspondence in a professional manner
· Schedule meetings, maintain calendars, and coordinate work/leave rosters
· Assist with preparation of reports, presentations, and internal communications
· Maintain filing systems (digital and physical) for farm and financial documents
· Process weekly payroll data and generate weekly reports
· Manage office supplies and equipment, ensuring proper inventory and ordering as needed
· Coordinate animal health and production supplies for production units including processing orders and received goods
· Support audits, compliance checks, and reporting obligations
· Attend staff meetings and training sessions as scheduled
· Maintain consistent and punctual attendance
· Follow all Fenor Farms production, health and safety, and biosecurity policies
Qualifications/ Skills/ Experience:
Requires advanced English-language competency (reading, writing, conversational)
2+ years administrative or office support experience (agriculture industry preferred)
Strong organisational and time management skills
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and comfortable with data entry systems
Familiarity with farm management systems and accounting software (e.g. PigChamp, Porcitec, Insight, SAP, etc.)
Strong communication skills – both written and verbal
Ability to work independently and handle multiple priorities
Familiarity with farm or livestock terminology is an asset
