Job Summary:
The Sales Operations Coordinator will provide high-level operational and administrative support to the Director of Sales, ensuring the smooth execution of commercial activities and strategic initiatives.
* Manage commercial projects, coordinate tender submissions, organize internal and external events, and handle calendar management, including scheduling key meetings and supporting strategic planning with commercial partners.
* Assist with sales administration tasks such as setting reminders, sharing market intelligence, conducting competitor analysis, and ensuring budget alignment.
* Work closely with the Business Intelligence team to develop a data-driven playbook based on customer and product insights.
Responsibilities:
* Sales Operations & Executive Support: Provide daily operational and administrative support to the Sales Director, including proactive calendar management, scheduling high-impact meetings, coordinating strategic planning sessions, and ensuring alignment across internal and external stakeholders to maximise the Director of Sales' time and focus.
* Tender Management: Coordinate and prepare public and private sector tender submissions for both Northern Ireland and the Republic of Ireland.
* Project Coordination: Support the planning and execution of strategic sales and commercial projects, track project timelines, deliverables, and outcomes.
* Administrative & Organisational Support: Maintain accurate records, files, and documentation, support event planning, conference logistics, and internal communications.
Requirements:
* Minimum 5+ years' experience in a sales support, commercial coordination, or executive assistant role.
* Proven experience managing or contributing to tender submissions in Ireland and/or Northern Ireland.
* Familiarity with the healthcare supply industry is a strong advantage.
* Proficiency in Microsoft Office (Excel, Word, PowerPoint, SharePoint, Outlook, and Co-Pilot) and CRM systems (e.g. NetSuite).
* Experience supporting senior leadership, including calendar and email management.
* Strong organisational and time management skills.
* Exposure to project coordination or project management methodologies.
* Project Management Qualification is a strong advantage but not essential.
* Strong written and verbal communication skills.
* Proven ability to work independently, manage confidential information, and manage multiple priorities effectively.
* Strong initiative and ownership mindset, with a proactive approach to anticipating needs, solving problems, and driving continuous improvement.
