Job Description
This is a full‑time, permanent position working 79 hours fortnightly, Monday – Thursday 09:00 – 17:15, Friday 09:00 – 16:15.
As an Administrative Coordinator the purpose of this job is to provide administrative support and coordination to the Managing Director and the PSS Ireland team. The scope of this role includes schedule management, coordination of communication and information flow, records management, information preparation and data analysis.
In addition, a portion of time will be allocated to supporting the President RBL PSS Europe and the general tasks described above will also apply.
Job Responsibilities

Provide full coordination support specific to Ireland, including but not limited to:
Assist with organisation of PSS Onboarding and Induction
Support new PSS Team members with administrative queries
Ordering and Distribution of Branded Goods for PSS Teams
Support with Marketing and Team Building for PSS Ireland
Support to PSS teams throughout IRE for Event Management


Provide full coordination support specific to Europe, including but not limited to:
Administration and coordination tasks driven from European central teams in recruitment, talent management, business processes and compliance excellence.
Supporting PSS Europe meeting organisation & structure – virtual and in person meetings
Administration and coordination tasks for routine and ad‑hoc gifting (Christmas, occasions etc)
Supporting various European administration tasks relating to legal entity documentation, filing and liaising with legal counsel


Provide full coordination support that will include:
Drafting emails, letters and presentations.
Collecting and collating information for the purpose of business metrics and reporting.
Organising meetings and teleconferences as required.
Maintaining MD's & President’s calendar by planning and scheduling meetings, conferences, teleconferences, and travel.
Organising and arranging travel itineraries and reservations.
Preparing personal expenses claims on a monthly basis and arranging approval.
Maintaining complete business, employee and client confidentiality.
Recording meeting discussions as needed.
Acquiring and maintaining a knowledge of the overall business and the various points of view of stakeholders by attending (as an observer) key business reviews and leadership meetings.
Ensuring that the MD’s office is compliant with Data Protection requirements.
Assisting with the implementation of actions arising from corporate KGDs.
Completing ad hoc projects.



Qualifications

Extensive experience in a similar position.
Experience handling confidential information, including compensation plans, mergers & acquisitions, redundancies, investigations, employee issues, trade secrets, etc. Must maintain confidentiality and discretion.
Excellent verbal and written communication skills.
Excellent accuracy and productivity.
Excellent attention to detail.
Strong understanding of delivering cost-effective, high quality service.
Excellent planning and organisation skills.
Ability to prioritise effectively.
